Outline of RolePart-Time preferably: 12:30 - 5:30 Mon - FridayAn active participant of the team, who supports the team's objective to meet the customer's needs and proactively seeks opportunities to provide support. Builds effective working relationships based on task completion and demonstrates patience despite setbacks. Understands what is required of them in their role and how this contributes to department priorities and is responsible for own workload
Responsibilities:
Reception DutiesGreets all visitors and employees at Head Office in a warm friendly mannerResponsible for answering all switchboard calls and re-directing appropriatelyResponsible for ensuring all messages are communicated to the relevant individual within a timely mannerResponsible for the sorting and distribution of the postManages the booking of the Head Office meeting roomsBooks taxis for client, visitors and employees
Customer ServiceDelivers a high level of customer service to both internal and external customersDevelops strong relationships across field support to support the objectives of the teamInteracts with peers in other departments to achieve the overall objectives of the support function
Systems and Process UnderstandingSupports the administration function of the field officeSupports the execution of standard processes - including but not limited to payroll, compliance, visas, overpayments, complaints.Manages and maintains the input of information into the key systems with a strong focus on data integrityResponsible for the collection of business critical dataIs able to extract key information from the system to support the overall objective of the Field Support team
ComplianceUnderstand contractor on-boarding requirementsUnderstands legislation effecting the business and contractors. Supports process changes as a result of new/changed legislationUnderstands visa requirements and restrictions
Qualifications:· Able to organise workload and multi task· Able to work under pressure and still maintain a high level of accuracy and attention to detail· High level of communication· Seeks growth and self-improvement· Understanding of the principle for providing excellent customer service· Basic use of Microsoft Office· Helpful and willing to support at all times· Acts with integrity at all times - ability to build trust and effective working relationships· Personal accountability and Self-reliant· Solution orientated· Results driven· Flexible· Continuous learner
