Full Job Description
Ensures proper flow of office procedures and supports the Head of Facilities and Administration team by carrying out common office duties. Maintains a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone. Duties include:
- Communicates with Egencia to produce travel itineraries for business directors and employee events.
- Order taxis and arrange car hire as required.
- Manage the refreshments for visitors, including coffee machines, snacks and consumables.
- Approve and allocate meetings rooms as appropriate. Ensuring they are left clean and tidy for the next user and usage guidelines are met.
- Manages correspondence by answering emails and sorting mail.
- Assists in planning and arranging events, including organising catering.
- Manages reception area and looks after visitors.
- Answers phone calls and transfers them as necessary.
- Supports the part time receptionist.
- Produce draft documents, format and print as required.
- Maintains stock lists and orders office supplies as needed.
- Scans and files appropriate documents as needed.
- Raise purchase orders as required.
- Carrying out such other duties reasonably falling within the scope as maybe required by the company
- Make arrangements for parcels to be sent and collected.
Prior Office Management Experience Preferred - Strong Attention to Detail
- Ability to Work Without Supervision
- Excellent Time Management Skills
- Exceptional Communication and Customer Service Skills
- Technical Skills, Including Proficiency with Microsoft Office Programs
