Full Job Description

The successful candidate will:

  • be responsible for prioritising work, typing clinical and general administration correspondence, be the first point of contact for patients and other visitors to the Unit.
  • provide a comprehensive secretarial service to the Clinical Matron and Clinical Team and provide a high standard of service to patients.

  • Employee Assistance Programme, To support the Clinical Matrons and Team in the delivery of excellent Patient care by actively working with Colleagues and other Departments to ensure that all Patients registered within the Service is proactively supported through their patient journey.
  • Ensuring all telephone calls are answered within the department during core office Hours. Opening and dealing with departmental post and allocating resulting work to appropriate Staff. Monitoring turnaround times for clinical correspondence and taking corrective action as required, in conjunction with the Clinical Matrons/Clinical Team. Providing Clinical Matrons/Clinical Team with relevant information relating to Administrative service. Take minutes at secretarial staff meetings and attending other administrative meetings as required. Responsible for ensuring office equipment is in working order and office supplies are maintained and replenished To coordinate any action plans as set from the Team To update and maintain trackers

    We have a band 4 Medical Team Secretary role (maternity cover for 12 months) suitable for an administrator with knowledge of medical terminology, preferably in a mental health setting.,
  • Intermediate level experience in word/ excel/ powerpoint
  • Solid experience in administration
  • RSA Level 3/NVQ Level 2 or equivalent
  • Desirable criteria
  • Proficient knowledge of PARIS
  • Experience in working in a Mental Health environment, Independent/lone working and team working skills
  • Experienced in taking minutes in meetings
  • Experienced in diary management to book appointments and meetings
  • Microsoft Teams
  • Desirable criteria
  • Knowledge of medical terminology, Responsibility of maintaining accurate records of patient details, notifying all professionals and agencies involved.
  • To be expert at data entry and reporting., Excellent verbal and written communication skills in person, on telephone, or email
  • Good standard of English
