Full Job Description

The Operations and Programme Coordinator will assume various tasks that pertain tothe day-to-day administration and organisation of Forensic Architecture (FA). The, with senior staff and external collaborators where necessary. Under the supervision ofthe Head of Operations and Head of Programmes, the Operations and ProgrammeCoordinator is expected to gain a deep understanding of the operational logic of FAand Goldsmiths in order to identify where the operational and administrative structuresmay be improved or new structures developed, and support the Head of Operations inimplementing these.With support from the Head of Programmes and Head of Operations, the Operationsand Programme Coordinator will take responsibility for some aspects of FA's financialadministration, including liaising with Goldsmiths' finance teams as needed anddeveloping relationships with key contacts, subcontractor management and contractdrafting, and raising and processing invoices, payments, and expense claims. This willrequire good familiarity with Goldsmiths' financial policies, both to inform the Operations, Over time, it is expected that the Operations and Programme Coordinator will be ableto apply this institutional knowledge and close working relationship with members ofrelevant departments across Goldsmiths, including Research and KnowledgeExchange, to support improved workflow between FA and those departments. They willalso take initiative on maintaining compliance with FA and Goldsmiths' policies acrossresearch teams, and developing guidance pertaining to operational policies andprocedures.The Operations and Programme Coordinator will work alongside the Head ofProgrammes and Head of Communications on the development and implementation ofFA's external communications. This will include managing and responding tomessages received to the main FA inbox, as well as supporting on press- andprogramme-specific correspondence, and maintaining up-to-date records of publicprogramming requests and exhibitions. This will also include assistance with theadministration and coordination of exhibitions, events, and screenings, as well as withthe preparation, editing, and design of publications. They will ensure that all externalcommunications are productively and actively maintained, and are written to a highprofessional standard, and once familiar with FA's work and practices will be able toassess certain types of programming requests independently and, in consultation withthe Head of Programmes, see them through from invitation through to completion. Thiswill include taking responsibility for managing lecture requests and allocating them toteam members under the supervision of the Head of Programmes. The Operations andProgramme Coordinator will be part of the FA editorial team and will work as part of thisteam to support with project publication, project texts, social media activity, newsletters,and the FA website, as well as developing internal media and editorialstrategy/guidelines, and any other tasks that may be required.,

  • Scheduling meetings, travel, and appointments
  • Raising and following requests across various departments within Goldsmiths
  • Organising and maintaining office supplies & equipment
  • Organising and archiving documents and project data
  • Processing payments, expenses, and invoices, processing and reconciling
  • purchase card receipts
  • Scheduling and operational support for Forensic Architecture senior staff,
  • including support with temporary cover for the Head of Operations and Head of Programmes during absences
  • Supporting the Head of Operations with internal communications to the FA
  • team, including FA Staff News
  • Supporting the Head of Operations on the creation of a series of presentations
  • and training sessions for the team related to Goldsmiths policy and internal operational procedures
  • Supporting the Head of Communications and other researchers to write funding
  • applications and grant reports
  • Taking the lead from the Head of Communications and Head of Programmes
  • regarding external communications, transitioning toward taking primary responsibility for answering general queries, licensing requests, and press requests
  • Gathering and preparing images and text for publication in press and exhibitions
  • Supporting the Head of Programmes with the coordination of FA's public
  • programme, including exhibitions, events, and screenings, and managing some smaller projects independently in agreement with the Head of Programmes
  • Working within FA's editorial team on:
  • o Supporting the preparation, editing, design, and writing of publications, o Updating our website and social media and reporting any bugs or potential improvements to our web developer o Supporting the team with writing press releases, newsletter, and website/social media content, including maintaining a calendar of forthcoming editorial tasks and communications activities o Responding to incoming media enquiries o Supporting the development of FA's editorial guidelines, their communication to the team, and their enforcement across FA publications
  • Supporting inductions for new staff and once familiar with the relevant internal
  • policies, leading on some editorial and operational inductions
  • Monitoring staff well-being and safety, understanding the available staff
  • resources within Goldsmiths and beyond
  • You will be required to undertake any other duties to support the practical needs
  • of the research team as may reasonably be required

    successful candidate will have experience in a similar role working in an administrativecapacity within higher education, ideally having had some engagement with researchteams, and have strong organisational, editorial, and communication skills.They will become familiar with FA's overall organisational and programming strategiesin order to support FA's senior staff in identifying and delivering upon opportunities inline with FA's interests. This will include managing competing priorities and following up, The Operations and Programme Coordinator will need to be organised and reliable,have a keen eye for detail, and will enjoy working as part of a team. Demonstrablystrong written and interpersonal communication in English is essential, as is somedegree of editorial experience. With the ability to work independently and proactively, they will have the confidence to deal with a wide variety of people, prioritise competingdeadlines, and comprehend complex situations quickly. Familiarity and experience inthe management and implementation of exhibitions and publications, ideally thoserelated to practice-based and/or academic research, would be a significant advantage,as would some experience of basic grant management and fundraising initiatives., Education to postgraduate degree level in any discipline A, C Essential Criteria 2 - Experience Demonstrable experience in administration or office management within A, I higher education. Experiences must include at least two of the following: project assistance or management within NGOs and cultural institutions, curating and coordinating exhibitions, public programme coordination in A, I academic contexts, managing an architectural office, copyediting or project coordination within an academic setting. Essential Criteria 3 - Knowledge Knowledge of administrative, organisational, and internal/external A, I communications strategies, especially within public institutions., Excellent written and oral communication skills. Ability to communicate effectively and to a high standard of professionalism in English and A, I Spanish.
