Full Job Description

Amentum are currently recruiting a Personal Assistant (PA) who will successfully provide accurate and reliable PA and administration support service to the Consortium Leader Team (CLT) managers and wider team. Key responsibilities will be:

  • Arrange business travel, accommodation, and coordinate meeting arrangements. To this end, the Personal Assistant is the primary point of contact of French PAS for HPC & SZC Project
  • Manage purchases on behalf of the CLT, relying on existing framework agreements or using a company credit card (Track business expenses)
  • Handle a wide range of high-level administrative tasks for the CLT managers. Prepare and handle key organizational documents maintaining strict confidentiality
  • Manage the CLT PMO generic mailbox
  • Manage the scheduling of the NSA governance under the CLT responsibility including the definition of the calendar, the revision of distribution lists, the implementation of the invitations, the booking of the meeting rooms and the subsequent updates management when required
  • Manage the scheduling of other meetings in support to the CLT Project Director and CLT managers
  • Arrange practical arrangements relating to the Consortium and CLT engagement and communication topics (Seminar, Team Projects, Site visits)
  • Support the CLT managers for the set-up/management of disciplines training resources
  • Handle newcomers process arrangements (IT, induction...).
  • Act as the point of contact between the CLT managers and other team members
  • Manage other specific requests coming from the CLT managers (such as TEEXMA - our time booking system)

    Good organisational skills (flexible/organised/methodical) with a keen attention to detail with the ability to work independently and be proactive.
  • Excellent communication/interpersonal skills notably with various levels of the organisation and externally.
  • Use of Outlook or similar diary/email application; Microsoft Office - Word, Excel, Power Point
  • The ability to work as an integral part of a team contributing to team success, communications and a positive working environment.
  • Discretion - confidentiality when dealing with sensitive information.
  • Attention to detail.
  • Able to manage conflicting priorities Previous team support experience.
  • General administrative/secretarial knowledge producing professional work as well as ability to adapt to new and changing systems
