Full Job Description

Keys Inclusion Pathway is seeking a highly organised and compassionate Onboarding Coordinator to manage the initial assessment and onboarding process for children and young people entering our tutoring provision. This role is central to ensuring that every learner's journey begins safely, thoughtfully, and with the right support in place. You will work closely with families, tutors, referrers and internal teams to gather accurate information, assess risk, coordinate provision, and support a smooth handover into ongoing tuition. This role involves a mix of remote working and face-to-face meetings with families, including home visits where required., As an Onboarding Coordinator, you will:
- Coordinate the onboarding and initial assessment process for new students entering the service
- Review referral information including EHCPs, risk assessments and provision objectives
- Build positive, professional relationships with parents/carers and young people, guiding them through the onboarding process
- Arrange and conduct initial assessment meetings, gathering detailed background and contextual information
- Complete initial assessment documentation clearly, accurately and thoroughly
- Develop and maintain general risk assessments, working closely with the Safeguarding Team where risks are identified
- Liaise with internal colleagues to confirm provision suitability and safe tutoring arrangements
- Communicate confirmed tuition plans clearly to families and answer any questions
- Share key case information with Area Managers, Progress Coordinators, tutors and specialist teams
- Ensure tutors receive all relevant information prior to provision starting
- Maintain accurate records and update the MIS system with all documentation and communications
- Conduct a follow-up check-in with families within the first two weeks of tuition
- Support a smooth handover to operational teams once provision is established Working Pattern
- 40 hours per week, Monday to Friday
- Term-time plus 4 additional weeks per year + (Including 2 weeks during the summer holiday) Extensive travel may be required. All travel is included within working hours and reimbursed in line with company guidelines.
- Experience working within the education system or children's services
- Experience accessing and interpreting EHCP documentation
- Experience communicating directly with families, preferably in family homes
- Experience completing risk assessments and understanding risk management
- Strong understanding of SEND and how to support young people effectively
- Knowledge of safeguarding legislation, GDPR and confidentiality
- Excellent written and verbal communication skills
- Confident working as a lone worker
- Ability to manage workload, prioritise effectively and meet deadlines
- Full UK driving licence with access to a suitable vehicle for business use Desirable:
- Honours degree
- Qualified Teacher Status (QTS)
- Proactive, resourceful approach with the confidence to take initiative
