Full Job Description
The Executive Assistant will provide high-level executive support to the Chief Distribution Officer (CDO), ensuring the smooth running of their day-to-day operations and act as a trusted partner in managing priorities, communication and workflow. Your organizational support to the CDO will enable them to focus on strategic leadership, whilst you manage the coordination, planning and execution of administrative and operational tasks. A high level of poise and discretion will be essential. This is a varied and fast-paced role, providing broad exposure across the Distribution function. It offers an excellent opportunity for a professional and assured individual to work closely with senior stakeholders, develop robust business support skills and contribute to the overall efficiency of the teamWhat you'll be doing What will your essential responsibilities include;
- Manage a complex and fast-paced diary, ensuring the CDO's time is prioritized effectively and aligned with business objectives.
- Coordinate internal and external meetings, including preparing agendas, briefing materials and tracking follow-up actions.
- Organise and facilitate audio and video conferences, ensuring meetings run smoothly and are fully supported from a technical and logistical perspective.
- Plan and coordinate key events, including Town Halls, offsites, team events and strategy days, ensuring they are purposeful, well-structured and efficiently delivered (including scheduling, agenda development and preparation of materials).
- Act as a key point of contact for senior stakeholders, partners and internal teams, ensuring communication is clear, timely and professional.
- Draft, review and manage correspondence and documentation on behalf of the CDO.
- Organise comprehensive travel arrangements, itineraries, and logistics for domestic and internal commitments.
- Process expenses, invoices and administrative documentation with accuracy, efficiency and attention to detail.
- Support the preparation of presentations, reports and strategic documents when required.
- Track deadlines, priorities and key deliverables to ensure the CDO is fully briefed and prepared.
- Handle sensitive information with discretion and professionalism. You will report to the Chief Distribution Officer, UK & Lloyd's.
- Proven experience as an Executive Assistant supporting C-Suite or Senior Leadership.
- Exceptional organisational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment.
- Effective written and verbal communication skills, with the ability to draft high-quality correspondence and documentation.
- Stakeholder management, with experience engaging senior leaders and partners.
- High level of discretion and integrity when handling sensitive information.
- Advanced proficiency in Microsoft Office, particularly Outlook, PowerPoint, Word and Excel.
- Excellent attention to detail.
- Ability to work proactively and resolve issues self-directed.
- Ability to remain calm, adaptable, and solutions focused under pressure. Desired Skills and Abilities:
- Experience supporting a Distribution or Sales function or similarly complex organisation.
- Familiarity with coordinating leadership events, offsites and strategy days.
- Experience in preparing board-level or executive-level presentations and materials.
- Ability to understand business priorities and adapt to changing demands.
