Full Job Description

Reporting into the Chief of Staff, the Executive Assistant will provide high-level, proactive support to two Directors within the Senior Talent team. This role is pivotal in ensuring seamless day-to-day operations, requiring exceptional organisational skills, discretion, and the ability to manage competing priorities across multiple time zones., Executive Support & Diary Management

  • Manage complex and ever-changing calendars across multiple time zones
  • Coordinate internal and external meetings, including senior stakeholder engagement
  • Arrange international travel, including flights, accommodation, visas, and itineraries
  • Provide daily and weekly schedule briefings and ensure leaders are well-prepared
  • Coordination & Communication
  • Act as a key point of contact for senior stakeholders across the business
  • Process expenses and support procurement and invoicing activities
  • Assist with presentations, reports, and project documentation
  • Build strong working relationships with stakeholders globally
  • Administrative & Project Support
  • Prepare meeting materials, take minutes, and track follow-up actions
  • Maintain and update internal systems and talent databases
  • Coordinate senior-level interview processes, liaising with candidates and search partners

    Proven experience supporting senior executives or directors in a fast-paced environment
  • Exceptional organisational skills with the ability to manage multiple priorities

  • High level of integrity and discretion when handling sensitive information
  • Proactive, adaptable, and solutions-focused approach
  • Calm under pressure with a flexible, team-oriented mindset
  • Strong MS Office skills and ability to quickly learn new systems
