Full Job Description
Oxford Medical Illustration (OMI) has a fantastic opportunity for a full-time Print Room Assistant to join our award-winning design team. Based at the John Radcliffe Hospital, you will support a professional and busy in-house design and print service, delivering high-quality print solutions to Oxford University Hospitals NHS Foundation Trust and external clients. This role plays a vital part in ensuring print materials are produced efficiently, accurately, and in line with brand and confidentiality standards., · Support the daily operations of the hospital print room under minimal supervision. · Operate high-volume multifunction print and finishing equipment (training provided). · Assist with document finishing tasks such as binding, laminating, folding, trimming and packaging. · Use workflow systems (e.g. EFI Command Workstation, Digital StoreFront) to manage and monitor print jobs. · Greet and assist customers professionally, taking accurate briefs and clarifying job requirements. · Respond to telephone and email enquiries, passing on information and escalating queries as necessary. · Perform daily maintenance checks on equipment and report any issues promptly. · Monitor stock levels and alert the Print Room Manager when supplies need replenishment. · Maintain cleanliness, safety and confidentiality standards within the print environment. · Deliver completed jobs to dispatch points within agreed timescales., To support and provide effective and efficient print services to the Oxford University Hospitals NHS Foundation Trust and external clients, ensuring that all material is produced to the highest quality whilst meeting strict deadlines and budgetary constraints. Main Tasks and Responsibilities: · Support the daily operations of a busy hospital print room by assisting with print tasks and following established procedures under minimal supervision. · Assist the Print Room Manager in maintaining accurate and up-to-date working practices to help ensure print quality, workflow consistency, and process efficiency. · Greet and assist customers at the print room reception area, recording job details clearly and professionally to ensure accurate service delivery. · Communicate with internal staff and external clients to clarify print requests, ensuring that job specifications, deadlines, and required outputs are properly understood. · Use digital print systems (e.g. EFI Command Workstation, Digital StoreFront and FileMakerPro) to help process job tickets and monitor basic workflow tasks as directed. · Operate and monitor high-volume multifunction print and finishing equipment under supervision, reporting malfunctions promptly according to established protocols and procedures. · Carry out document finishing tasks such as binding, folding, trimming, labelling and packaging in line with instructions and job specifications. · Provide support to users on document setup issues, referring more complex queries to senior staff as needed. · Handle routine telephone and email enquiries in a polite and helpful manner, ensuring information actioned, passed on, or logged correctly. · Manage assigned tasks independently within agreed deadlines, maintaining clear records of job progress and priorities. · Perform daily checks on equipment as instructed, logging usage and reporting any issues to senior team members. · Keep work areas clean and tidy, contributing to a professional, safe and organised print room environment. · Monitor stock levels of paper and consumables during use, alerting the Print Room Manager when supplies need replenishment. · Accept and process cash and cheque payments accurately (when necessary), ensuring receipts and records are handled securely. · Ensure all print jobs are recorded, tracked, and signed off by customers or staff where required. · Use print management software as trained to help queue and release print jobs and check job statuses. · Assist in the upkeep of quality control processes by following standard procedures and highlighting any recurring issues to senior staff. · Handle all documents and print jobs with care and confidentiality, respecting data protection and NHS policies at all times. · Follow NHS branding, copyright, and information governance guidelines when working on materials intended for publication. · Deliver completed jobs to the designated dispatch area or post room on time, following Trust procedures. · Safely lift and transport boxes of paper and printed materials, following manual handling guidelines to avoid injury. · Maintain focus and accuracy when working under time pressure, ensuring jobs are completed to the required standard. · Take part in training and daily team updates to stay informed about new print procedures, technologies, or service changes. · Work closely with Design Team colleagues and provide general support to help ensure the print room runs smoothly on a daily basis. Person Specifications, The management of risk is the responsibility of everyone and will be achieved within a progressive, honest and open environment. Staff will be provided with the necessary ongoing education, training and support to enable them to meet this responsibility. Staff should be familiar with the § Major Incident Policy § Fire Policy § Information governance Each individual should make themselves familiar with the 'local response' plan and their role within that response.Responsibilities for Health and Safety The post holder is responsible for ensuring that all duties and responsibilities of this post are carried out in compliance with the Health & Safety at Work Act 1974, Statutory Regulations and Trust Policies and Procedures. This will be supported by the provision of training and specialist advice where required.Infection Control Infection Control is everyone's responsibility. All staff, both clinical and non-clinical, are required to adhere to the Trusts' Infection Prevention and Control Policies and make every effort to maintain high standards of infection control at all times thereby reducing the burden of Healthcare Associated Infections including MRSA. All staff employed by OUH have the following key responsibilities: · Staff must wash their hands or use alcohol gel on entry and exit from all clinical areas and/or between each patient contact. · Staff members have a duty to attend mandatory infection control training provided for them by the Trust. · Staff members who develop an infection (other than common colds and illness) that may be transmittable to patients have a duty to contact Occupational Health.Child Protection The post holder will endeavour at all times to uphold the rights of children and young people in accordance with the UN Convention Rights of the Child.Safeguarding Children and Vulnerable Adults The Trust is committed to safeguarding children and vulnerable adults throughout the organisation. As a member of the trust there is a duty to assist in protecting patients and their families from any form of harm when they are vulnerable., The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

Previous experience in a customer service or print production environment is essential. Experience using digital print equipment or working in a reprographics department would be a distinct advantage., NVQ level 3 or GCSEs including Mathematics, English and Science or equivalent level of qualification. Additional training or certification in print production, reprographics, digital media, or related technical areas is advantageous but not essential. Experience Experience of working within a customer service environment. Experience of operating a range of equipment and ensuring safe and efficient operation of these Understanding of commercial print requirements. Familiarity with the day-to-day operations of a print environment - such as experience in a college reprographics department, commercial printers, or in-house production. Personal Skills Good numeric, written and face to face communications and customer service skills. Customer focused with the ability to listen to customers, pay close attention to their requirements and take briefs effectively. Accuracy, attention to detail and good organisational skills. Ability to work autonomously on own initiative and prioritise own workload. Confidence in dealing with staff or clients from different levels of an organisation, particularly in understanding and communicating technical job requirements, would be beneficial. Experience working in a structured or regulated environment (such as education, healthcare, or corporate) can be an advantage, especially when handling sensitive or confidential documents Behavioural Skills Alignment to the Trust values at all times. Demonstrated interest in print, design, or visual communication. Technical Skills Computer literate with experience in Microsoft Windows operating system.
