Full Job Description
We are looking for dependable Groups Admin to join our Groups and Events team at an exciting time in its journey where two travel management Companies have merged (Good Travel Management and CT Travel Group). This has developed into an £85m+ turnover company, with ambitious growth plans. We are part of high growth, innovative 6th generation family business - John Good Group, who over the past two years have undergone considerable transformation and growth, including multiple acquisitions in several sectors. The role is an exciting opportunity for anyone with a keen desire to develop and grow. Some key aspects of the role will include:
- To work as part of a team providing group solutions.
- To develop and maintain strong and lasting relationships with existing and new clients through the delivery of excellent service, using suitable products and services and by doing so, contribute to the overall success of the Groups & Events department. Client management Under the guidance of the Group Travel Manager build strong and lasting relationships with clients, including but not limited to:
- Liaise and follow up with clients in a timely manner
- Manage Customer Service issues or escalate to the Group Travel Manager for support Solution design Support the team to prepare responses to new enquiries. Tasks include but are not limited to:
- Helping to prepare briefs for suppliers
- Sourcing appropriate services (e.g., airlines, rail providers, ground transfer providers, hotels, venues) and sending out briefs as required
- Following up on supplier enquiries to ensure responses are received
- Helping to create budgets
- Helping to create proposals Operational Under the direction and guidance of senior colleagues' support with the delivery of assigned project work including but not limited to:
- Entering names into the airline's website / GDS
- Allocating seats on the GDS
- Assisting with booking rail in Evolvi
- Assisting with guest registration: + Monitoring and responding to emails + Allocating delegates to flights + Keeping the baggage policies up to date + Sending itineraries + Assisting with testing of the build of registration
- Processing hotel payments and commission invoices
- Receipting payments
- Sending rooming lists to hotels and DMCs, ensuring standard data process workflows are followed to ensure the receiving, managing, and sharing of data is GDPR compliant
- Ensuring that all programme information is correctly filed so other team members can pick up a file and have a full knowledge of the history and status
- Delivering consistency by using standard operational documents including but not limited to (e.g., confirmation of services, budget templates, project change orders, personalised itineraries, operational agendas, stakeholder briefing packs)
- Answering and directing incoming phone calls/emails from clients, suppliers, and partners Commercial Responsible for having a full awareness of the Groups & Events financial targets and supporting the Group Travel Manager to achieve and exceed them, including but not limited to:
- Ensuring all accounting documents are accurate and raised promptly so there is visibility of performance against target
- Negotiating best rates, value adds, payment terms and commissions with suppliers Other
- Attend industry events in the UK to expand knowledge in the UK and overseas + Sharing knowledge, learnings, and insight with the wider team
- Attend FAM trips, workload permitting, to grow destination and supplier knowledge
- Collaborate across the Groups & Events division and wider business
- Support the Groups & Venues team with research, delivery and admin as required
- Support the Trade Missions team with research, delivery and admin as required
- Support the Groups & Events Director and Head of Groups Planning & Delivery to generate new ideas for the marketing department
- Flexibility to assist with out-of-hours work as required
- Flexibility to support on-site as required
- Undertake duties other than your normal office duties from time to time as and when requested by Senior Management Adhoc
- To act in accordance with the core values of the business at all times
- To work with other Travel departments, on ad-hoc projects
- To attend training as and when required, Based in Tunbridge Wells and/or Hybrid (with occasional travel to the London and the other offices to meet the demands of the business along with travel to client offices, and travel onsite as required)
Knowledge of the travel industry is beneficial with a willingness to train and upskill a requirement - Knowledge of GDS Amadeus is beneficial with a willingness to train and upskill a requirement
- Knowledge of Evolvi is beneficial with a willingness to train and upskill a requirement
- Competent in using the full range of Microsoft Office products (including Teams, Excel, PPT and Word) as well as web-based sharing tools (e.g. SharePoint)
- Knowledge of Dolphin or Travcom would be beneficial with a willingness to train and upskill a requirement
- Be confident in using new technology solutions introduced for both internal and external use and be willing to undertake training
- Able to work on own initiative and manage own workload
