Full Job Description

The University Library Service is recruiting to the role of Assistant Library Operations Manager (Evening and Weekend) which will primarily support the day-to-day operational management of evening/weekend hours across four library sites on Cathays Campus: Arts and Social Studies, Bute, Science and Trevithick. You will support the Customer Services front-line staff ensuring that library services, run smoothly. The post-holder will be flexible, adaptable, and able to work under their own initiative to deal with a variety of tasks on any given day. The post will require strong organisation skills and the ability to manage, support and motivate team members. The post is part time, 17.25 hours per week and fixed term until 1 June 2026 to cover for an existing member of staff on maternity.,

  • supervise the operation of the library team, being the central point of contact across multiple sites during evenings and weekends, including the allocation of work tasks, production of work schedules, and staff development requirements, providing pastoral care, training and support to staff members where necessary;
  • collaborate with others in order to make recommendations for developments of established processes and procedures;
  • establish working relationships with key contacts, including Security and Estates, to help improve service levels, developing appropriate communication links with the University's Schools/Directorates and outside bodies as required;
  • undertake a variety of administrative duties to support the team and department;
  • gather and analyse data to inform decisions, establishing basic trends and patterns in data and creating reports as appropriate;
  • instruct and guide other employees across the University regarding ULS processes and procedures;
  • support the provision of and assist in the management of an effective library service for customers;
  • support customers via the online chat service;
  • manage the provision of an effective library IT service including supervision, maintenance and liaising with appropriate technical staff;
  • resolve customer queries referred by library staff;
  • participate in or lead special projects and working groups within the ULS;
  • represent ULS at relevant committees;
  • guide customers in the use of electronic resources e.g. e-books, electronic journals and databases;
  • assist with the instruction of customers in the use of resources and/or assisting with Information Literacy workshops, including library orientation/induction/tours;
  • assist with collection management and development;
  • undertake recruitment and selection of library staff;
  • ensure that the ULS Regulations are observed;
  • participate in a continuing programme of training and development;
  • actively contribute to the provision of outstanding/excellent customer service in line with the University Library Service's Customer Care Promise and Customer Service Excellence Award.
  • Training and support will be provided. General Duties
  • Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties
  • Abide by University policies on Safety, Health and Environment and Equality and Diversity
  • Perform other duties occasionally which are not included above, but which will be consistent with the role

    1. NVQ 2/ GCSE level A-C or equivalent or equivalent relevant experience.
  • 2. Substantial experience of working in a library or information service. 3. Evidence of ability to explore customers' needs and adapt the service accordingly to ensure a quality customer focussed service is delivered. 4. Ability to communicate clearly and professionally with a wide range of people including a proven ability to work as an effective team member. 5. Experience of supervising the work of others to focus team efforts and motivate individuals. 6. Evidence of ability to solve problems using initiative and creativity; identifying and proposing practical solutions. 7. Evidence of ability to work unsupervised to deadlines, planning, setting and monitoring team priorities. 8. Demonstrable commitment to Continuing Professional Development (CPD) with a willingness to participate in training activities, including IT. 9. Evidence of a flexible approach to a continually developing role. 10. Demonstrable experience of using IT applications such as Microsoft Office, email and the Internet. Desirable Criteria 11. Experience of managing others, including developing and motivating a team and ensuring welfare issues are resolved. 12. Knowledge of a Library Management System e.g. ALMA. 13. Familiarity with electronic information resources and mobile technologies. 14. NVQ 3 /A-levels or equivalent. 15. Experience of working in a Higher Education environment. 16. Fluency in Welsh, written and oral

    Working pattern: Monday and Tuesday 5 hours, Sunday 7.15 hours. Salary: £27,644 - £30,805 per annum, pro rata (Grade 4). You will be part of a team ensuring that the library services:
