Full Job Description
In this role, you'll help ensure smooth operations by liaising with various stakeholders, supporting our leadership team, and contributing to our ongoing success. You'll work closely with our Executive Assistant and Hub Manager, with opportunities for remote work and occasional travel for meetings and events. - Diary and Schedule Management: Proactively manage Directors' calendars, ensuring timely appointments and meetings.
- Email and Action Monitoring: Monitor and respond to emails, follow up on outstanding actions, and ensure deadlines are met.
- Meeting Organisation: Prepare agendas, papers, and packs; attend meetings and provide support as needed.
- Travel Coordination: Arrange extensive travel (flights, accommodation, transport) adhering to UK and Group policies, and optimize travel budgets.
- Administrative Support: Handle correspondence, take minutes, dictation, and produce high quality documents, spreadsheets, and presentations.
- Event and Meeting Coordination: Organise on/offsite meetings, client entertainment, and company events.
- File and Record Management: Maintain electronic and paper filing systems securely and efficiently.
- SAP and Finance Tasks: Raise/process invoices, chase payments, and manage Directors' expenses via the Condeco system.
- Additional Duties: Support Directors and team with admin tasks, project work, and undertake other responsibilities as required.
- Confidentiality: Maintain strict confidentiality on all work related matters.
Previous Executive Administration experience - Competent with Microsoft Office applications, including Outlook, Word, Excel, Publisher and PowerPoint.
- Good numerical and verbal skills.
- Excellent communication, organisational and administration skills, including editing skills.
- Outstanding attention to detail
- Ability to multitask and thrive in a fast paced environment.
- Have worked in an environment where confidentiality is important.
- Ability to be resilient and adaptable.
- Good standard of general education
- Ability to work both independently and as part of a team. Desirable
