Full Job Description
- Act as the main point of contact for both internal and external people wishing to contact Directors and key individuals within their departments. Ensure that queries are dealt with effectively, taking the initiative to identify and handle issues that arise on their behalf.
- Ensure communication lines are effective with the other ELT members, direct reports, and colleagues around the business so that relevant information is shared.
- Prioritise correspondence/information/reports providing responses where appropriate.
- Assist Director's Senior Leadership Teams with any ad hoc requests and tasks as and when required.
- Diary management:
- Scheduling of meetings and events to ensure Director's time is optimised.
- Ensure forward planning of calendars and resolve conflicting issues.
- Ensure any pre-reads are available prior to the meeting.
- Ascertain whether meetings are virtual or face to face. Ensure Zoom links / meeting room are booked and added to the invite.
- Ensure room set up is arranged in advance with the Facilities Team.
- Liaise with IT Department regarding AV requirements.
- Organise refreshments and catering for meetings as and when required.
- For external visitors, liaise with the Reception Team to organise onsite parking (if required) and visitor's passes.
- Prioritise the Director's commitments, allowing sufficient time for preparation, delegation, and review of critical activity.
- Attend weekly PA meetings to discuss diary planning and scheduling in line with other ELT's availability.
- Travel Management:
- Liaise with our Travel Management Company to source and organise both domestic and international travel.
- Source and organise hotel bookings.
- Check visa requirements and organise accordingly.
- Arrange taxis or car hire (as required).
- Add travel details and booking confirmation to the Director's calendar.
- Produce a detailed travel itinerary for Director and share with each traveller.
- Check-in for flights on behalf of Director.
- Raise purchase orders, and other types of payments (BACS, credit card) for Director and their teams, following the company process. Liaise with the Accounts Payable Team where necessary.
- Set up new suppliers following adhering to our internal procedure.
- Ensure Directors' monthly cash and credit card expenses are submitted within the required timescale, with accompanying receipts and a detailed explanation.
- Submit Directors monthly mileage returns through the company portal within the required timescale. Ensure all documentation within their profile is up-to-date (ie; Tax, Insurance, MOT).
- New Starter Onboarding:
- Liaise with the IT Department to arrange the necessary hardware, software, and systems access.
- Liaise with new starter to gain their home office set up requirements and place any orders for office furniture and equipment if required.
- Produce an induction programme of meetings for the new starter with relevant colleagues within the business Specific to Operations:
- Arrange quarterly Strategic Agenda Reviews, including sourcing offsite venues, hotel accommodation, restaurants (private dining where necessary), catering requirements throughout the meeting, AV equipment and any other ad-hoc requests.
- Liaise with Factory General Managers to arrange Operations Reviews, Site Reviews and any other Ops related meetings throughout the year, including hotel and restaurant requirements where required. Specific to Procurement:
- Manage Procurement inbox, answering queries and forwarding emails to relevant departments.
This is a fantastic opportunity for an experienced PA to provide a comprehensive and confidential PA and administrative support service to Directors and their direct reports (where necessary), so that an efficient and smooth-running operation is achieved. - Well developed IT / computer skills, i.e. Outlook, Word, Excel, PowerPoint, OneDrive. SAP desirable.
- Good education to at least GCSE standard or equivalent.
- Excellent written and verbal communication skills.
- Previous experience of team work and a willing and supportive style.
- Previous experience of working in the FMCG industry an advantage but not crucial
