Full Job Description
The main aim of this role is to support office admin, SmokeFreeLife Berkshire and various stop-smoking services within the company. With a focus on assisting in the office with the handling of Nicotine Replacement Therapy (NRT), delivering Very Brief Advice (VBA) training, and general admin tasks. You'll be the friendly and organised point of contact, coordinating appointments, managing data, and providing vital support to our dedicated Stop Smoking Advisers. With your enthusiasm and attention to detail, you'll ensure our community stop smoking services run smoothly, making a real difference in the lives of our clients.
All of our team members undergo a rigorous training programme to ensure they are working to the highest standard and demonstrating evidence-based practice. Full training will be provided to ensure the post-holder is competent to support across a range of areas.
Main duties of the job
Co-managing the service generic email account. Answering queries and processing referrals timely and effectively.
Contact referrals by phone to triage appropriately and book them into relevant clinics with an adviser.
Responding to phone calls and answering phone messages as appropriate.
Attention to detail when inputting and maintaining the service's database systems.
Processing Invoices.
Providing daily administrative support to the Service Coordinator and Stop Smoking advisers.
Offer support, information and advice to clients/health professionals where necessary. Identifying clinical queries from callers, reviewing urgency and referral to appropriate Specialists.
Ensure enquiries/complaints are sensitively handled and raised appropriately for action.
To collate and store service user feedback.
To work with the team to capture, create and schedule content for the service's social media platforms.
To assist with organising internal and or external conferences and training days, including registration and resource preparation.
To prepare and produce an agenda, collate and distribute all necessary information and documentation, take minutes and action notes as required.
Ensure all minutes are issued in a timely manner and agreed actions are appropriately recorded.
To order service leaflets, handbooks, and other promotional materials.
Provide practical support to the production of dashboards, reports and data in advance of reviews and reporting to national, regional and local commissioning and stakeholder organisations.
To manage and monitor device calibration, PAT testing and other maintenance as necessary.
Develop, monitor and maintain quality standards and initiate good office practices including appropriate data protection of client information; developing and maintaining manual and computerised filing systems; ensuring clinic rotas are kept up to date.
Assist in the distribution of Stop Smoking products.
Explain to clients the principles of Stop Smoking so that they can make an informed choice regarding their treatment.
Motivate and empower clients to make behaviour changes.
Ensure a commitment to own personal development by attending all team meetings and training as required and keeping up to date with research and best practices.
Actively participate in promotional events which may include weekend working
