Full Job Description

We are looking for a Ward Manager Assistant / Admin Team Leader to join the nursing team at the Nuffield Orthopaedic Centre. You will be a central part of the ward teams and will ensure the Ward Manager and clinical teams are provided with comprehensive administration support. In addition you will line manage the administration staff based on the wards including Ward Clerks, Receptionists and Housekeepers.Main duties of the job To ensure the Ward Manager, Matrons and all ward team members are provided with comprehensive, efficient and effective secretarial and administrative support. 2. To provide administrative and minute taking support to Ward Managers and Matrons for individual performance meetings with staff, and for external meetings from the ward base. 3. To act as budget manager and to line manage administration teams on the the wards at the NOC (e.g. ward clerks, receptionists) through regular individual supervision and team meetings, annual personal development reviews and ensuring mandatory training is undertaken. 4. To be responsible for the recruitment and induction of new administrative staff into the wards., 1. To ensure the Ward Manager, Matrons and all ward team members are provided with comprehensive, efficient and effective secretarial and administrative support. 2. To provide administrative and minute taking support to Ward Managers and Matrons for individual performance meetings with staff, and for external meetings from the ward base. 3. To act as budget manager and to line manage the SSIP administrative teams through regular individual supervision and team meetings, annual personal development reviews and ensuring mandatory training is undertaken. 4. To be responsible for the recruitment and induction of new administrative staff into the wards. 5. To support the Ward Manager to maintain up to date and accurate training records. 6. To support the Ward Manager/Matrons and all staff in managing their requirements in relation to mandatory training, personal development reviews and supervision. 7. To support the Ward Manager with all audits, carrying out risk assessments, record keeping and ensuring the reporting of incidents. 8. To support the Ward Manager in the prompt delivery of all the team reports and returns, including attendance and absence records and other monthly returns. To support the Ward Manager with building management liaising with the estates department in relation to risk, security, essential repairs and maintenance and planned works. 9. To manage clinical record keeping systems including health roster and safe care and act as lead for the wards on implementation of any system changes. 10. To support the Ward Manager in achieving Trust targets on data quality by reviewing reports and monitoring the timely entry and quality of data input., The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
