Full Job Description
You will act as Personal Assistant to the Senior Sisters/Charge Nurses and deputies, providing effective administrative support, including diary management. The role requires strong verbal, written and IT skills, alongside good organisational and planning abilities.
You will manage correspondence, emails and diaries, organise meetings, take and distribute minutes, and prepare reports and documentation using initiative and sound judgement. You will help maintain ward policy files, update ward information packs, and support the review and prioritisation of Datix incidents.
You will support workforce administration, including maintaining staff records, coordinating annual leave, monitoring sickness absence, supporting return-to-work processes, and assisting with PADR, induction, mandatory training and study leave in liaison with Learning and Development.
The role also includes supporting ward staffing by arranging temporary cover, liaising with the Bank Office, analysing rotas, completing e-rostering to payroll deadlines, producing staffing reports, and liaising with Estates and EBME regarding equipment repairs.
The post holder willneed to have excellent communication skills andwill act as first point of contact for all non-clinical issues, on behalf of the Ward Manager. The post holder will also liaise with Health Board staff at all levels and outside contractors / suppliers.
An exceptional eye for detail and excellent organisational skills are also essential for this role and you will be expected to demonstrate initiative in planning your own workload, in a way that supports the work of the Senior nursing team.
