Full Job Description
As a Used Vehicle Remarketing (UVR) Agent, you will play a crucial role in our vehicle lifecycle and financial recovery processes. In this dynamic role, you will oversee the journey of returned vehicles-including lease hand-backs, voluntary terminations, and repossessions-coordinating their transport to contracted auction houses to maximize sale proceeds and minimize company losses. Alongside managing vehicle logistics, you will provide critical, high-quality phone support across our Customer Support teams, handling both inbound and outbound inquiries from customers and dealerships. This position offers an excellent opportunity to combine strong administrative coordination with impactful customer service in a supportive, fast-paced environment., Excess Charges AdministrationAccount Termination: Administer Vehicle Collection Reports for Options hand backs, terminate accounts in the receivable systems, and liaise with dealers and customer as required. Charge Calculation: Calculate and input excess wear-and-tear costs and excess mileage charges into the receivable system, following approved processes. Cross-Functional Support: Support and collaborate with internal departments regarding the hand back process managing customer queries to maintain high customer service standards. Queue Management: Monitor the Excess Charges Debt Manager (DM) work queue daily and contact customers directly to collect the payment of outstanding charges. Sales AdministrationInventory Reporting: Complete daily inventory reports to support regular and ad-hoc departmental reporting. Logistics & Coordination: Manage the collection of all vehicle returns by external suppliers. Direct each vehicle to its optimal destination based on geography and
guidance from UVR Remarketing Specialist. Documentation Management: Control and order replacement V5 registration documents and secure detailed vehicle service histories to maximize resale value. Sales Preparation: Prepare all necessary documentation for the sales process, including vehicle appraisals, reserve setting & removal of financial interest whilst liaising closely with UVR Remarketing Specialist. Financial Data Entry: Input transport and refurbishment costs into the receivable system, ensuring correct approval levels are met for every refurbishment authorised. Sales Reconciliation: Input sales data into the receivable system and resolve both pre-sale and post-sale queries, including reconciling sold vehicles against payments received. Track receipt of sales proceeds to ensure they are received within objective. Controls & ComplianceStock Audits: Generate reports to enable UVR Field Staff to conduct physical vehicle stock checks and assist in resolving any identified
discrepancies. Exceptions Handling: Facilitate appropriate approvals for vehicle reserves that fall outside the standard Reserve Setting Approval guidelines.
Person Specification:Essential CriteriaAdministrative Excellence: Highly organized administrative skills with a proven track record of self-checking work to maintain a high level of accuracy. Drive for Results: Self-motivated individual with a strong drive for results and the ability to manage multiple competing priorities and customer demands. Detail-Oriented: Excellent attention to detail, able to process large amounts of data accurately. Communication & Relationship Building: Strong written and verbal communication skills, with the ability to interact professionally with both internal and external stakeholders. Adaptability: Highly flexible approach with the ability to prioritize tasks based on changing departmental needs and acquire new skills quickly. Desirable CriteriaRelevant Experience: Previous experience working within an MBC customer facing department. System Familiarity: Familiarity with key internal systems such as Debt Manager, Pinnacle, Alfa, Salesforce and LA. IT
Literacy: Competence in the administration, creation, and maintenance of Excel spreadsheets.
