Full Job Description

We're looking for a Team Assistant to provide comprehensive administrative and file management support to our Legal Support Services team in Nottingham., As a Team Assistant, you'll be at the heart of our Legal Support Services team, delivering essential administrative and file management support to fee earners and Practice Assistants.

You'll take ownership of building and maintaining an ongoing service-based relationship with the team you support, translating their needs and expectations into a responsive and reliable service.

Reporting to the Practice Support Manager and based in our Nottinghan office, you'll play a vital role in ensuring the smooth day-to-day running of the team.

What you'll be doing

- File management and compliance - maintaining and updating all files, ensuring documents are correctly named in line with firm-wide conventions and stored in the correct folder structures. You'll also be responsible for file opening, closing and archiving procedures, ensuring compliance at all times.

- Team and event support - liaising with Practice Assistants to support client and marketing activities, including scheduling meetings and directory interviews; assisting with the organisation of internal and external events, seminars and conferences; and managing room bookings, travel arrangements, courier requests and other ad hoc tasks.

- Workload management and administration - managing priorities and workloads to ensure deadlines are consistently met, liaising with your PA and Practice Support Manager when challenges arise, and assisting with billing, expenses and team coordination.

Relevant office-based administration experience, with intermediate knowledge of Microsoft Office. Experience of document management or case management systems would be a bonus.

- A strong communicator and collaborator - you'll be able to liaise with internal and external clients in a professional manner, with excellent attention to detail and a customer service-focused approach.

- A proactive and flexible team player - well-organised, conscientious, and able to manage your own time effectively in a fast-paced environment, with a positive can-do attitude and a genuine willingness to learn and develop.
