Full Job Description
We are seeking an Administrative Team Coordinator to support the Single Point of Access (SPA) Team at The Medical Centre, Woodfield Road, W9 3XZ. This role is key to ensuring the smooth, safe and efficient management of rotas, calls, patient referrals, appointments and communications across our services.
We are looking for someone who demonstrates professionalism, exceptional organisational skills and the confidence to provide clear guidance and support to the team, with the credibility and interpersonal skills to work collaboratively in a multidisciplinary environment. As this is a patient centred service, a strong commitment to a high-quality service and patient experience is essential.
The SPA plays a vital role in processing and registering new referrals, booking clinics, updating waiting lists and communicating appointment-related information to patients, carers and health professionals. The SPA ensures that referrals are effectively and safely managed, making efficient use of resources, reducing duplication and highlighting urgent needs to the appropriate clinical services.
Current SPA shift times are between 8:00 - 17:00, with flexibility as required to meet evolving service demands.

Previous applicants will not be considered., + Demonstrate excellent customer care and communication skills while providing a professional, welcoming front-line service for patients, carers, GPs and other health and social care professionals.
+ Maintain detailed and accurate message recording systems, taking appropriate action and alerting team members promptly when urgent attention is required.
+ Take responsibility for the local resolution of problems or complaints, applying tact, empathy and negotiation skills to achieve understanding and cooperation.
+ Uphold strict confidentiality guidelines and exercise careful judgment when handling sensitive patient information.
