Full Job Description
The Service Delivery department is a key part of the auction business and is responsible for managing a range of office-based activities that support the smooth running of operations. These tasks include inputting and coordinating vehicle collections and deliveries, processing vehicle data, handling important documentation, and managing vehicle payments. Team members play an important role in ensuring that all processes within the department run efficiently and effectively. Their work helps ensure that vehicle sales are completed successfully while maintaining high standards of operational performance and customer service for both buyers and sellers. What You'll Be Doing
- Ensure the administration, coordination, and sale of vehicles meet customer and internal SLA requirements at all times.
- Support the smooth day-to-day operations of the department, resolving problems or incidents promptly and following required procedures, escalating issues when necessary.
- Work with the Service Delivery Manager to plan ahead for vehicle arrivals, ensuring accurate processing of vehicle data and documentation.
- Maintain clear communication with the Operations team to minimise delays in allocating vehicles for sale.
- Ensure the smooth, safe, and uninterrupted flow of vehicles through the auction process, including pre-sale, sale, and post-sale stages and reporting.
- Assist with accurate invoicing and the timely processing of customer payments through the Bankline system, including arranging delivery requests where required.
- Support the Service Delivery Manager with additional tasks to maintain an efficient operation and provide an excellent client experience.
- Ensure the office environment is presentable, meets HSE requirements, and creates a positive impression for customers.
- Respond to general client enquiries accurately and professionally, in line with Cox Automotive's customer service standards, escalating concerns when appropriate.
- Maintain safe working practices by following HSE requirements and site rules at all times.
- Proactively support the Service Delivery Manager to ensure all mandatory HSE requirements are met and team members receive appropriate training and development.
- Assist the Service Delivery Manager in investigating disputes with the Operations team and provide timely feedback.
Ability to work effectively as part of a team and complete tasks to a high standard. - Experience working in a fast-paced Service Delivery environment.
- Strong communication skills, both verbal and written, with the ability to interact at all levels.
- Flexible, proactive, and able to adapt quickly in a constantly changing environment.
- Excellent customer service skills with a focus on putting clients first.
- Proficient in Microsoft Office applications, including Excel, Word, and Outlook.
- Experience working in a KPI-driven environment.
- Ability to work efficiently and meet internal SLA requirements.
- Strong attention to detail with accurate data entry skills.
- Good time management and organisational skills, with the ability to meet deadlines in a busy environment.
- First Aid at Work qualification is desirable but not essential.
