Full Job Description

We are seeking a highly organised and customer-focused Service Co-ordinator to act as the first point of contact for client requests, ensuring all enquiries are logged, processed and translated accurately into engineering or FM actions. This role is central to maintaining service excellence and supporting smooth operational delivery., We are looking for someone who can build strong relationships with clients and internal teams, communicate clearly and professionally, and ensure all contractual processes are followed. You will play a vital part in keeping workflows moving, escalating where required, and ensuring that documentation and systems remain accurate and up to date.,

  • Receive, log and process client and helpdesk requests in line with contractual requirements.
  • Accurately translate client issues into FM/engineering actions and allocate them to the correct resource.
  • Monitor shared mailboxes and respond to enquiries within agreed timeframes.
  • Manage work orders through CAFM systems such as Maximo.
  • Liaise with subcontractors to arrange attendance and manage updates.
  • Maintain accurate documentation and records across all systems.
  • Provide administrative support to the wider service delivery team.
  • Escalate delays, risks or issues to management when necessary.
  • Deliver a professional and articulate subcontractor dispatch service at all times.

    Previous experience in a customer service, helpdesk or administrative role.
  • Confident and professional call-handling skills.
  • Strong IT literacy, including Microsoft Excel and Word.
  • Excellent communication and relationship-building skills.
  • High attention to detail with strong organisational and planning abilities.
  • A flexible, solutions-focused attitude with the ability to work effectively in a fast-paced environment.
  • A collaborative team player comfortable supporting multiple stakeholders.
