We are looking for an organised, professional, and friendly GP Secretary to join our busy medical practice team. The successful candidate will provide high-quality administrative and secretarial support to GPs and other healthcare professionals, ensuring patients receive an efficient and confidential service. This is an excellent opportunity for someone with strong communication skills, attention to detail, and experience working in a healthcare or office environment.This position is for 30 hours per week Main duties of the job

  • Provide secretarial and administrative support to GPs and clinical staff
  • Audio/copy typing of referral letters, reports, and general correspondence
  • Process incoming and outgoing mail, emails, and clinical documents
  • Liaise with hospitals, community services, and other healthcare professionals
  • Maintain accurate patient records and ensure information is updated correctly
  • Manage filing systems and document scanning where required
  • Handle telephone calls and patient enquiries professionally and sensitively
  • Arrange appointments, referrals, and follow-up correspondence
  • Ensure all work is completed in line with confidentiality and GDPR requirements

  • We are also an active member of ARCH PCN, working collaboratively with eight other practices to deliver enhanced services and support patients through a multidisciplinary team approach. Our clinical systems include SystmOne and AccuRx triage, supporting efficient and modern ways of working., This role is to provide a comprehensive and confidential secretarial and administrative service to the GPs and wider clinical team, supporting the effective day-to-day running of the practice and ensuring patients receive a professional and efficient service. Main Duties and Responsibilities:Secretarial Duties-Prepare, type, and process referral letters, medical reports, and general correspondence accurately and within agreed timescales. Manage incoming and outgoing correspondence including emails, letters, and electronic documents-Support GPs with administrative tasks and clinical documentation. Ensure urgent correspondence and referrals are prioritised appropriately. Handle telephone calls and patient enquiries in a professional and courteous manner. Liaise with hospitals, community services, and external healthcare providers regarding appointments, referrals, and patient information. Communicate effectively with clinicians, patients, and other members of the practice team. Administrative duties-Maintain accurate patient records and update clinical systems as required-Scan, file, and store documents in line with practice procedures. Process referrals using NHS electronic referral systems where appropriateMonitor and manage tasks/workflows allocated by GPs or management. Assist with general office administration and reception support when required. Maintain strict confidentiality of patient and practice information at all times. Comply with GDPR, NHS guidance, and practice policies and procedures. Ensure all work is completed in accordance with data protection and information governance requirements. Work collaboratively with reception, administration, and clinical staff. Provide cover for colleagues during periods of absence where necessary.   • Previous administrative or secretarial experience
  • Experience using computer systems and managing records accurately
  • Excellent verbal and written communication skills
  • Ability to prioritise workload and work under pressure
