Full Job Description

As a Personal Assistant / Senior Directorate Administrator, you'll provide high level support to Directors of Nursing, managing complex diaries, coordinating key meetings, and producing clear, accurate minutes and reports that directly support quality, safety and decision making across the Trust. No two days will be the same - you'll balance competing priorities, respond to emerging issues, and use your initiative to keep things running smoothly. You'll work closely with senior leaders, internal teams and external partners, building strong relationships and ensuring excellent communication across the directorate. There's also scope to support and supervise administrative colleagues, contribute to service improvements, and help drive more efficient, modern ways of working., Provide comprehensive personal assistant and senior administrative support to the Nursing, Professions and Quality Directorate, including dedicated PA support to both Directors of Nursing, working within agreed procedures and priorities. Manage complex electronic diaries, appointments and correspondence, using judgement to prioritise work, rearrange commitments, and meet deadlines in a fast paced environment. Coordinate and service senior level governance meetings, including preparation of agendas and papers, attending meetings, and producing accurate, timely minutes, action logs, and highlight and exception reports. Act independently within role boundaries, responding to urgent and sensitive matters in the absence of senior managers and escalating issues appropriately when required. Maintain effective record keeping and information management systems in line with Trust policies, ensuring confidentiality, accuracy, and version control. Liaise professionally with internal and external stakeholders, including Trust staff, partners and regulators, providing clear communication and maintaining confidentiality at all times. Support, coordinate and oversee the work of administrative colleagues Line management responsibilities.
