Full Job Description
This is a high-impact and highly visible opportunity for an exceptional Personal Assistant with proven experience supporting a C-suite executive. Working in close partnership with the Chief Executive Officer (CEO), Business & Commercial Banking (BCB), you will enable the CEO to remain focused on the organisation's most important strategic, commercial and leadership priorities. Operating as a trusted extension of the CEO, you will exercise exceptional judgement, discretion and business awareness. You will anticipate needs, protect strategic time, manage complex information flows and act as a credible gatekeeper with Board members, senior leaders, customers and external stakeholders. Success requires composure, resilience and flexibility in a fast-paced environment, together with regular presence in London and UK-wide travel. Key Accountabilities Diary, Inbox & Time Management
- Own and optimise a complex, fast-moving CEO diary, aligning time to strategic priorities, anticipating dependencies and resolving conflicts with minimal escalation.
- Own inbox and correspondence management, identifying priorities, drafting responses and progressing matters independently within agreed parameters.
- Coordinate internal and external meetings, ensuring effective preparation, logistics and follow-up.
- Act as a trusted gatekeeper, balancing access with the CEO's priorities and commitments. Governance & Executive Meeting Support
- Provide end-to-end administrative support for key leadership forums, including BCB Executive Team, and Extended Leadership Team (ELT) related sessions, Board interactions, strategic offsites and other high-profile engagements.
- Working closely with the wider Executive Office, ensure meeting administration is handled with rigour, including agenda coordination, paper collation, version control, actions tracking and follow-up.
- Handle personal, commercially sensitive and confidential information with exceptional discretion, accuracy and professionalism. Administrative & Operational Support
- Deliver accurate, timely and compliant administrative support, including expenses, approvals, Workday tasks, holiday tracking and recruitment administration.
- Arrange UK and overseas travel and accommodation, adjusting at short notice where required and ensuring policy and budget compliance.
- Work closely with the wider Executive Office to support leadership meetings, offsites, events and visits, ensuring smooth end-to-end delivery. Events, Engagement & UK-wide Support
- Provide flexible support across the UK, including travel to regional locations, to enable effective delivery of: + Customer meetings and visits + Colleague town halls and engagement sessions + Regional and national conferences, events and external engagements
- Support logistics, preparation and on-the-day coordination for high-profile engagements involving customers, colleagues and external stakeholders including government officials. Business Knowledge & Proactive Support
- Build and maintain a strong understanding of the business, its strategy, priorities and key stakeholders.
- Act as a central point of contact for the BCB CEO's office on diary, logistics and coordination matters.
- Anticipate issues, spot risks and identify opportunities to improve administrative processes and ways of working. Use of AI to Drive Productivity & Creativity
- Proactively use approved AI-enabled tools to improve productivity, quality and efficiency (e.g. diary optimisation, inbox triage, drafting, summarising and meeting preparation).
- Apply AI to reduce manual effort while maintaining accountability, judgement and accuracy across all outputs.
- Demonstrate curiosity and creativity in how AI can enhance planning, communication and problem-solving. Stakeholder Management & Professionalism
- Build strong, trusted relationships with senior leaders, peers, external contacts and the wider BCB CEO's office.
- Communicate clearly, confidently and professionally, handling sensitive matters with discretion and care.

Hybrid working, with a minimum of three days each week in the London office. The successful candidate must be able to attend more frequently when the CEO's diary or business priorities require and travel across the UK, including at short notice., Demonstrable previous experience as a Personal Assistant providing dedicated support to a C-suite executive in a FTSE 100 company, or equivalent. - Proven experience of the full breadth of CEO-level support, including complex diary and inbox ownership, Board and executive governance, senior stakeholder engagement, executive travel and highly confidential matters.
- Exceptional organisation, prioritisation and forward-planning skills, with the composure to manage ambiguity, frequent change and competing demands.
- Outstanding written and verbal communication, with the credibility and confidence to engage Board members, senior executives, customers and external stakeholders.
- Exceptional judgement, discretion and attention to detail when handling market-sensitive, personal and confidential information.
- Advanced user of Microsoft 365, particularly Outlook.
- Proficient with applications and tools for expense management, board papers, reporting etc.
- Confident user of AI-enabled productivity tools, with sound judgement and validation of outputs.
- Ability to work from the London office a minimum of three days per week, attend more frequently when required, and travel flexibly across the UK, including at short notice.
