Operations Assistant - Hackney, London

Role focus: Operational support, systems, and admin, working closely with the Operations Director across the Bakeries, Production Unit and Pophams Home Reports to: Operations Director Works closely with: Store Supervisors, Bakery Team, Executive Chef, Homeware Team, Operations Director Role Purpose We're an independent, people-led business, and this role is about supporting company growth whilst ensuring all operational details continue to run smoothly. The Operations Assistant helps keep Pophams running day to day. It's a varied role that moves across departments and tasks, depending on where the business needs support most. Alongside a set of core, recurring responsibilities, you'll also pick up ad hoc tasks- whether that's supporting a site directly or helping the Senior Leadership Team with urgent tasks.,

• Compile and maintain records of key company dates, contact lists, certificates and utility contracts
• Systems upkeep maintenance, including but not limited to Square, Marketman, Workforce, and Pophams Hub
• Reporting as required by the Senior Leadership Team
• Process monthly staff expenses
• Onboard and offboard team members on Pophams systems
• Maintain staff records and training certificates
• Create SOPs and documentation as required by the Senior Leadership Team
• Calendar management, including scheduling and coordinating meetings
• Taking minutes at meetings and sharing follow ups as required
• Liaising with various contractors - including but not limited to cleaning, maintenance, IT, security
• Assist with Payroll preparation and administration
• Assist with end of period administrative tasks
• Basic Office management (organisation, cleanliness, bookings)
• Support new site openings
• Help maintain clear, standardised processes across all sites and departments
• General day to day admin tasks as required by the business
  
  This is a hands-on role for someone who genuinely enjoys hospitality and retail, cares about people, has impeccable attention to detail and bags of initiative., Previous experience working in hospitality, café, bakery, or retail environments preferred
• Efficient ways of working, with a process-led approach
• Strong organisational skills and comfort with day-to-day admin
• Happy to be hands-on and flexible, moving between sites and tasks as needed
• Impeccable written and verbal communication
• An interest in independent food, drink, and homeware businesses
