Full Job Description
- Responsible for the provision of office/facilities services to ensure the space is maintained to an exceptional standard and oversee facilities management services at local off-site offices.
- Implement strategies to optimise facilities management services and create processes/ procedures to support the FM team in the smooth running of the office.
- Responsible for enforcing desk booking arrangements and a clear desk policy.
- Responsible for space planning and overseeing office moves.
- Work with H&S to ensure Fire Wardens/First Aiders and emergency arrangements for the site are in place and manage this process to always ensure full coverage.
- Ensure compliance with Balfour Beatty policies/procedures and production of the site(s) Facilities Management Plan(s) & Business Continuity Plan(s).
- Manage all suppliers/contractors including reactive maintenance contractors and service contractors etc to ensure compliance with H&S regulations and agreed KPIs.
- Ensure the office always remains legally compliant and maintain statutory records accordingly including accurate maintaining of Health & Safety files for the building.
- Carry out 'desktop' reviews of any outstanding requirements and actions in the Company compliance system to ensure we are audit ready.
- Manage the FM budget for the site(s).
- Providing and coordinating key data for internal reviews, stakeholder meetings and drafting appropriate materials for meetings.
- Support the project team through mobilisation of administration resource, with admin services, and travel booking.
- Act as a Subject Matter Expert to the wider Facilities Management team in a particular subject/discipline.
Knowledge and experience of H&S and building maintenance requirements. - Experience in the provision of Facilities Services and/or Office Management at a Corporate level with management/ supervisory experience.
- Exceptional Customer Service skills with the confidence to manage people at all levels to achieve required results.
- The ability to work independently and successfully manage varying workloads.
- Experience of the procurement/management of service contracts.
- Excellent organisation, prioritisation and time management skills and strong attention to detail for meticulous record keeping; providing support working in a fast-paced environment to meet targets and deadlines with excellent verbal/written communication skills.
- Confident in using Microsoft office packages (Outlook, Word, Excel).
- IOSH Managing Safely & iWFM desirable but not essential.
