Full Job Description
Due to increasing service demand, the Occupational Health & Wellbeing Services are seeking to strengthen their established Administrative and Clerical Team., 1. Undertake administrative and clerical duties as requested. Some administrative duties are a large part of this role, such as filing of records, dispatch of appointments, answering emails and the telephone and dealing with written enquiries and problems not requiring the attention of clinicians. 2. Opening and prioritising of mail. 3. cover of front Reception area ensuring the meet and greet of patients and booking in 4. Input data outcomes and contribute to the processing and collation of all audit information as required for the service 5. Attend relevant meetings in order to take minutes 6. Provide general duties e.g., filing, faxing, scanning and photocopying. 7. Organise and oversee the collection and storage of all information relating to the Service 8. Maintain effective and up-to-date diary management for all in relation to appointments 9. Ensure that timely and accurate collection of statistical information as may be needed for the effective management of the service and to meet statutory requirements. This will require computer skills to assist in the inputting data on the PC. 10. Carry out administrative and clerical duties as required, to assist in the provision of a quality service. 11. Provide general assistance to clinicians to support the service, such as preparing equipment and after training, setting up treatments in readiness for the clinician. 12. Maintain a neat and orderly service area to ensure the environment is conducive to patient care 13. Maintain an effective and efficient supply of stock items and ensure that these are accessible and readily available. 14. Assist in the mobility and transfer of patients who may be heavy on occasions (the Trust operates a minimal lift policy) 15. Give general assistance to patients for example, dressing and undressing, toileting, application or removal of splints or calipers, application of waterproof dressings. 16. Assist clinicians in clinical duties in the service setting. Specific duties and rehabilitation exercise programmes may also be carried out by an assistant alone. In these circumstances the advice of a qualified member of staff will always be available. 17. Contribute to the provision of quality of patient care within the service and ensure that SEQOHS standards are maintained. 18. Participate in the staff appraisal scheme and personal development plan 19. Proactively participate in the development of the clinical governance framework within Occupational Health linking national and Trust guidelines to team objectives and personal practice. 20. Liaise with clinicians as necessary regarding patient care. In particular, highlighting any variations to expected outcomes from treatment programmes. 21. Attend and actively participate in the in-service training programmes as required. 22. Contribute to the development of patient care by attending relevant team, departmental or other appropriate meetings and comment on recommended changes to clinical care or service provision. 23. Be responsible for the safe use of equipment and to check all mobility aids and other equipment for safe patient use, ie. Walking aids/frames. Organisational 1. Be responsible for the safe use of equipment and walking aids by patients in your care. 2. Manage and prioritise your own patient caseload with supervision of clinicians and be responsible for maintaining adequate records and progress of their patients. 3. Monitor and develop own performance with liaison of clinicians aiming to achieve and maintain a high standard. 4. Be responsible for the administrative arrangements for organising eg. book clinics, rooms and equipment. 5. Ensure effective and on-going communication with clinicians regarding treatment of individual patients. Physical Effort 1. The post holder will be expected to kneel, sit on heels, move adult limbs, support patients while walking, lift and transfer patients, push wheel-chairs and use a hoist. Mental Effort 1. The post-holder will be expected to concentrate and ensure good communication with patients who have impaired understanding or communication difficulties ie, slurred speech. 2. To deal sensitively with patients who have high levels of anxiety and aggression caused by pain, dementia or limited mobility and with patients who are having difficulty accepting their disabilities resulting in extremely low motivation and compliance., The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
Candidates must be able to demonstrate progressive experience in administrative procedures, including the use of electronic appointment systems. Knowledge of digital systems used within healthcare environments, such as Cerner, along with proficiency in Microsoft Office applications including Excel, Word, and Outlook is essential. Evidence of continued professional development (CPD) will also be required. Applicants should have a genuine interest and enthusiasm for this area of work.,
