Full Job Description

1. To act as the primary point of contact for all administrative and student support enquiries to the Mental Health Advice and Counselling services, including but not limited to:

  • Overseeing the administration of Mental Health and Counselling email accounts, using initiative to determine appropriate responses.
  • Communicating with service users and stakeholders, orally and in writing, with strict adherence to the high level of confidentiality required for this area of work.
  • 2. To be responsible for the administration and coordination of Mental Health and Counselling appointments, including:
  • Liaising with students and staff to arrange and manage appointment bookings for both services.
  • Responding to and allocating missed or rescheduled appointments, ensuring staff and students are kept updated in line with Wellbeing "missed appointments" processes.
  • Administering Mental Health and Counselling allocation systems,
  • ensuring accurate recording and monitoring of allocation information and appointment outcomes.
  • Escalating imminent or urgent concerns to appropriate support within USW Wellbeing.
  • Managing and tracking appointment non-attendance.
  • 3. To maintain accurate and comprehensive data for both Mental Health and Counselling services, including:
  • Supporting the monitoring, review, and evaluation of service provision.
  • Producing quantitative and qualitative reports related to key service metrics such as waiting lists and waiting times.
  • Maintaining accurate electronic records of allocation activity and ensuring all
  • records comply with GDPR requirements. 4. To provide general administrative support, including:
  • Supporting meetings by preparing documentation and taking minutes.
  • Supporting system upkeep, coordination of administrative processes, and other tasks as directed by the line manager.
  • Undertaking any other duties appropriate to the grade, as requested by the line
