Full Job Description

To provide high quality, professional, and comprehensive administrative support to the Medicines Management and Therapeutics Committee MMTC, and to the Medicines Effectiveness Team. To support the Medicines Effectiveness Team in the day-to-day management of the OUH formulary and unlicensed medicines register. To be able to work flexibly, responding to a range of requests in a timely manner. The post holder will be responsible for supporting the team with a range of reports, data collection and analysis.Main duties of the job To maintain and develop an efficient and effective administrative system for the Medicines Effectiveness Team. To maintain and keep up to date key documents relating to the MMTC, including documents on the Trust website and SharePoint site. To take minutes for MMTC and other relevant medicines management committees as required, then prepare and disseminate minutes as necessary. To assist the Medicines Effectiveness Team in the day to day management of the Oxford University Hospitals formulary, including the unlicensed medicines register and the formulary website. To carry out risk assessments of all unlicensed medicines available within the trust. To develop the procedure for the quality control and release of unlicensed specials in accordance with the Trust unlicensed medicines policy,

  • To ensure that administrative support to the Medicines Effectiveness Team is provided in an efficient and effective manner.
  • To support the Medicines Effectiveness Team by keeping all essential resources and databases up to date.
  • Take, prepare and distribute minutes of meetings as necessary, particularly those for the MMTC.
  • Assist in producing reports as necessary and participating in data collection for medicines use audits.
  • Support the Medicines Effectiveness Team in disseminating information on the MMTC decisions, which will involve regular contact with other members of pharmacy department
  • To assist in the promotion of Medicines Information Leaflets (MILs)
  • Manage and maintain the MMTC SharePoint site and the web based formulary.
  • Participate in development of Policy and Standard Operating Procedures (SOPs) by creating SOPs and/ or providing comment on those written by others as necessary.
  • Work independently and refer to members of the Medicines Effectiveness Team, etc. as appropriate.
  • Ensure the safe and effective use, storage and disposal of information in line with the Data Protection Act and Caldicott Principles.
  • Be accountable for own actions and work without supervision whilst the line manager is available for advice when required.
  • Any other duties as required and commensurate of the post. This is an outline job description, designed to give an overview of the responsibilities of the post. The post-holder would be expected to be flexible to respond to the changes in team and organisational need., The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

    Good general education to NVQ level or equivalent
  • GCSE Maths & English
  • Experience of developing, implementing, and using administrative systems
  • Experience of organising meetings
  • Good knowledge and use of the English language (written and verbal)
  • Good knowledge of Microsoft Office (Word, Excel, Outlook and Powerpoint)
  • Highly developed organisational & time management skills
  • Willingness to learn new skills and commitment to personal development and training
  • Desirable criteria
  • Experience gained within NHS or public sector organisation
  • Knowledge of management of simple databases
  • Website administration skills e.g. SharePoint
