Full Job Description

As a Licensing Assistant, you will be responsible for

  • Supporting the Licensing Officers and managers in delivering the licensing functions accurately and in a timely manner
  • Offering excellent customer service to all customers, visitors, and colleagues, signposting customers for support as required.
  • Chasing payments, updating annual fees database and spreadsheets making sure all information is checked and correct.
  • Sending out letters, doing mail merges from excel spreadsheets, databases and checking for correctness.
  • Ensuring any scanning is done accurately and labelled correctly to allow officers to access applications/documents remotely.
  • Processing applications such as Lottery Registrations, Street and House to House Collection permit applications.
  • Answering emails in a professional manner, to support communications with customers both internal and external and record these appropriately.
  • Assist in contacting customers seeking clarification, information or updating the applicant/consultee on the application progress as directed and requested by the Licensing Officers or management.
  • Undertake minute taking in team meetings and other admin duties. Completing data statistics report requests from third parties.
  • Update the licensing section on council's website.
  • Hours - 37 Hours per week, with the expectation of 5 days per week working in the office

    We are looking for motivated individual who can deliver high quality, customer focused outcomes in relation to the Licensing Function. The post holder must be able to provide an accurate, timely support to the Licensing Service and Team. To be considered for this role, you must:
  • Hold GCSE Grade C (or equivalent) in English and Maths
  • To be able to work both in a team and as an individual and to work unsupervised once capable in the role and take ownership of tasks to the end.
  • Attention to detail is vital in this role.
  • Will need to check several systems and ensure data is inputted accurately.
  • To ensure any inconsistencies are identified and escalated to colleagues.
  • Be able to demonstrate experience of using Microsoft products including Excel, Word, Outlook and being able to do an accurate mail merge.
  • Have excellent communication skills and the ability to engage with a wide range of stakeholders
