We are looking for an organised and customer-focused Leasehold Administration Assistant to join our Housing Service and support the delivery of a high-quality Leasehold and Shared Ownership Service. This is an exciting opportunity to play a key role in supporting a specialist team that provides essential services to leaseholders and shared owners across the district. As a Leasehold Administration Assistant, you will provide comprehensive administrative and financial support to the Leasehold Team. You will help maintain accurate records, process financial transactions, support service charge administration, and assist with statutory processes. You will also act as a first point of contact for customer enquiries, ensuring residents receive a professional, efficient and responsive service. We are looking for someone with strong administrative and organisational skills, excellent attention to detail, and confidence working with financial data and IT systems. You will be a proactive team player who is committed to delivering excellent customer service and supporting continuous improvement within the service. Main responsibilities

  • Support the administration of leaseholder accounts, including processing rents, service charges, direct debits and account adjustments.
  • Provide administrative support to the Leasehold Team, including managing mailboxes, maintaining records and filing legal documentation.
  • Process financial transactions such as invoices, payments, refunds and adjustments in line with Council procedures and financial controls.
  • Act as a first point of contact for customer enquiries, providing clear and professional advice and escalating complex queries where appropriate.
  • Assist with statutory processes, including preparing documentation and issuing correspondence for Section 20 consultations.
  • Support the preparation and issue of service charge statements, LPE1 forms, legal packs and statutory notices.
  • Maintain accurate customer, property and account data on housing management systems, ensuring records are compliant and audit-ready.
  • Provide general administrative support, including meeting coordination, minute taking, data inputting and document management.
  • The intention is for the postholder to work predominately from home however, it is a requirement to attend our offices or sites within Warwick District as required. Any costs for travel from home to the office will be met by the successful candidate. However, office and hybrid working are also available.
