Full Job Description

You'll be at the heart of a busy, specialist service that protects patients, staff and visitors every day. You'll provide administrative and data support to a multidisciplinary clinical team, helping to drive IPC priorities across the Trust. From coordinating meetings and conferences, managing data and reports, and supporting audits and governance systems, to maintaining information platforms and responding to internal and external enquiries, no two days will be the same.,

  • Providing high-quality, confidential administrative support to the IPC team.
  • Coordinating committees and meetings, including agenda preparation, minute-taking and circulation of papers.
  • Supporting audits, point prevalence studies and IPC awareness activities.
  • Drafting, formatting and managing reports, policies, leaflets and other documents for internal and external use.
  • Managing departmental systems including SharePoint sites, document control, training records and governance platforms.
  • Coordinating events such as the annual IPC link practitioner conference.
  • Acting as a point of contact for enquiries from staff, patients and external organisations, responding professionally and appropriately.
  • Supporting procurement, stock control, rostering and general office management functions.
  • You will bring:
  • Strong administrative experience, including meeting coordination and minute-taking.
  • Confidence working with data, figures and reports., Key responsibilities include organising and minuting formal meetings, managing IPC data systems and reports, supporting audits and awareness initiatives, drafting and formatting documents, maintaining SharePoint and governance systems, coordinating events and conferences, and responding professionally to a range of internal and external enquiries. The postholder handles confidential patient and staff information, supports recruitment and induction processes, contributes to projects and service improvement initiatives, and manages elements of procurement, rostering, training records and general office administration., The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

  • Excellent written and verbal communication skills, with the ability to engage professionally with staff at all levels.
  • Proven ability to work independently, prioritise effectively and meet deadlines under pressure.
  • Confidence in using Microsoft Office applications such as Word, Excel and Teams.
  • High standards of organisation, accuracy and attention to detail.
  • Adherence to data protection, confidentiality and information governance rules.
  • A flexible, positive and solution-focused approach, aligned with Trust values., The role requires independent working, effective prioritisation, strong communication and close attention to detail. The postholder will work collaboratively with Infection Prevention and Control Nurses, the Lead Nurse and Manager, administrative colleagues, clinical and non-clinical staff across the Trust, and external partners including UKHSA, Integrated Care Boards and other healthcare organisations., GCSE or equivalent in Maths and English
  • RSA III or equivalent experience
  • ECDL or equivalent qualification in IT literacy
  • Desirable criteria
  • Diploma in Business and Administration level 2 or experience in equivalent field
  • NVQ level 4 or equivalent experience in equivalent field, Previous secretarial experience
  • Evidence of working with figures and data
  • Experience of taking and transcribing formal minutes and informal meeting notes
  • Experience of planning and organising a broad range of complex activities
  • Desirable criteria
  • Previous experience working in healthcare setting, Excellent communication skills
  • Ability to work on own initiative
  • Ability to prioritise and manage a defined workload, using judgement to solve problems/deal with deadlines
  • Ability to work in a team

  • Computer literate with experience of working confidently with the Microsoft Office packages including but not limited to Teams, Excel and Word.
