Full Job Description
As part of our specialist Partner Support Services team, this role plays a key part in supporting Partner HR activity and senior-level recruitment across the business. You will coordinate complex Director and Partner-level interviews, manage sensitive administration and candidate documentation, respond to partner and stakeholder queries, and help deliver a high-quality, tailored service. Responsibilities may include onboarding, leavers, regulatory requirements, reporting and process support. Success in this role will require strong organisation, sound judgement, attention to detail, excellent communication skills and a proactive approach to problem-solving, continuous improvement and customer experience. Confident in supporting our customer base through multiple channels - you can trust that no two days will ever be the same as you support and add value to our very busy team by:
- Interview Scheduling and case coordination: Manage end-to-end scheduling for Director and Partner-level recruitment, including complex panel interviews, while coordinating with candidates, interviewers, recruiters, Partners, executive assistants and external providers. Proactively resolve diary conflicts, manage competing priorities and ensure a smooth candidate and stakeholder experience.
- HR Administration and process support: Maintain accurate candidate and partner records, folders and documentation. Support the administration of onboarding, leavers and planned absence, ensuring confidentiality, compliance and accurate system updates in our HR and recruitment systems.
- Stakeholder, query and case management: Support with partner queries and escalations, seeking to understand root cause and working with stakeholders to implement solutions and enhancements. Escalating complex queries in a timely and efficient manner, taking accountability for updating our stakeholders with progress and resolution.
- SLA and KPI performance: Take ownership of agreed SLA and KPI target. Understand what "good" looks like, monitor your performance, and proactively manage your workload to consistently meet or exceed targets.

- Exceptional Organisational and Time Management Skills: Exceptional organisational and time management skills, with the ability to prioritise a complex workload, manage multiple activities and meet deadlines in a fast-paced administrative or HR support role, ideally within professional services or a similar corporate environment.

- High Level of Accuracy and Attention to Detail: Meticulous in all tasks, ensuring precision in data entry, document preparation (e.g., interview invites, offer letters, retirement emails), and report generation, with a proven ability to handle sensitive and confidential information with discretion.
- Proficiency in Microsoft Office Suite: Competent in using Microsoft Word, Outlook, with the ability to support data management, tracking and reporting. Desirable

- Experience with HR Information Systems: Practical knowledge and experience with SAP/Avature or similar HR systems for applicant tracking or managing employee data.
- Stakeholder Management and Business Acumen: Experience in supporting diverse stakeholders, proactively identifying opportunities, and proposing relevant business solutions within HR operations.
- Understanding of HR Processes and Compliance: Familiarity with a broad range of HR processes, including onboarding, leave of absence, payroll adjustments, and exit procedures, with an awareness of associated compliance requirements.
HR Services are looking for a Senior Assistant (U2) to support our Partner HR activity and senior-level recruitment process.
