Full Job Description
We're looking for a highly organised and detail-focused Facilities and Property Services Administrator to support the smooth running of our central Property and Facilities function across our hospital portfolio. You'll play a key role in keeping our compliance records up to date, managing essential documentation, and supporting the wider team to maintain safe, efficient and well-run sites. This is a great opportunity for someone who thrives in a busy environment, enjoys working with varied stakeholders, and takes pride in maintaining high standards of accuracy and organisation. This is a remote role, with an expectation to travel to the Reading office as an when required. What you'll be doing As our Facilities and Property Services Administrator, you will be:
- Managing and maintaining property, compliance and facilities documentation.
- Tracking statutory certificates, monitoring expiry dates and supporting audits.
- Coordinating with our third-party FM provider and site teams to keep records accurate.
- Supporting planned preventative maintenance (PPM) scheduling and SLA tracking.
- Preparing reports, dashboards, meeting agendas and minutes.
- Providing administrative support across facilities, property and project teams.
- Assisting with asset registers and documentation for refurbishments and projects.
Strong organisational skills and excellent attention to detail. - Confidence managing compliance records and multitasking across multiple sites.
- Good communication and stakeholder coordination skills.
- Proficiency in Microsoft Office, particularly Excel and digital filing systems.
- FM/Business Administration or similar qualification
- Health & Safety qualification (IOSH Managing Safely or NEBOSH General Certificate). Desirable -
- Experience in healthcare or regulated environments, FM provider exposure, CAFM system knowledge, or audit support experience.
