We're looking for a proactive and enthusiastic Executive Team Assistant to become the driving force behind our property teams - keeping everything running efficiently and organised. In this pivotal role, you'll be providing vital support to cross-functional teams of property professionals based across England. If you thrive in a fast-paced environment and have exceptional minute taking skills we want to hear from you. This is a London-based hybrid role, which requires you to attend the office 2 or 3 days per week, ideally on a Tuesday/Wednesday/Thursday.,
- Providing administrative support for Committee and Board meetings by preparing documents, taking accurate minutes, and tracking actions
- Ensuring timely and accurate proofreading, formatting, and distribution of reports and meeting papers in line with company standards.
- Supporting cross-functional teams (Development, Technical & Planning, Construction, and Net Zero Accelerator Programme) by arranging meetings, managing travel and hotel bookings, and preparing presentations.
- Delivering financial administration tasks such as raising purchase orders, validating invoices, and performing reconciliation tasks.
- Acting as a key liaison between Directors and internal/external stakeholders, maintaining professionalism and confidentiality.
- Proactively identify opportunities to streamline administrative processes and enhance team efficiency., 1st Stage Interview and Practical Test: In-office interview with the Senior Executive Assistant and the HR Administrator followed by an assessment.
- Final Interview: In-office with the Director of People & Operations, Development Director and Chief Executive.
GCSE in Maths and English or equivalent. - Experience as an Executive Assistant or similar role providing diary management, meetings organisation and general administration for a group of senior professionals.
- Exceptional minute taking skills at a senior level e.g. Board/Committee level with strong attention to detail.
- Highly developed in spelling, punctuation, grammar and other English language skills, with the ability to provide accurate documentation.
- The ability to multi-task with a strong work ethic requiring minimal supervision.
- A highly organised, individual, with a strong work ethic who has the ability to multi-task in a fast paced environment.
- Highly proficient in Microsoft Office Suite and collaboration tools such as Teams & Zoom).
A basic salary of up to £40,000 based on experience. - Opportunity to earn up to 10% of salary in an annual performance related pay scheme.
