Full Job Description
The Faculty Executive Support Manager is a pivotal post within the Faculty Office and provides an excellent opportunity for the right applicant to gain a breadth of experience by exposure to high level strategy and board level implementation. The ESM works closely with the Dean and with the Director of Operations, providing high level administrative, governance and project management support to the Faculty of Brain Sciences' leadership team to support the smooth running and effective leadership of the Faculty as a whole. S/he will liaise on a daily basis with senior staff and colleagues from across the Faculty, Life and Medical Sciences (LMS), UCL and external partners. The role requires the ability to manage a varied and demanding workload, to communicate effectively and build relationships with people at different levels in the organisation, a professional attitude, flexibility, initiative, willingness to help and a commitment to personal development. The post holder will be responsible for leading on certain aspects of the Faculty's work, independently managing small projects and proactively supporting wider initiatives in key areas. The post holder reports to the Director of Operations and is responsible for the management of the Executive support team. This role is maternity cover for 1 year from 1 November 2026 on a fixed-term basis. This role is not open to sponsorship but is available as a UCL secondment opportunity. - Educated to a degree level or equivalent.
- Have experience of working in a senior administrative role, for a large and complex division/directorate or within an HE institution.
- Experience of servicing high-level committees and minute taking.
- Experience of managing a complex diary for a senior Executive.
- Excellent IT skills in email, spreadsheets, word processing, databases, PowerPoint and the Internet.
- Ability to communicate and deal effectively and professionally (i.e. with tact, diplomacy and sensitivity) with a wide range of people at all levels in and outside the University.
- Provide high-level delegated decision making, external liaison including drafting correspondence to high-level on behalf of the Dean/Director of Operations and advising on appropriate actions.
- Excellent project management skills.
- Able to manage a busy workload, work under pressure and manage competing priorities.
- Relevant line-management, finance and HR experience.
