Full Job Description

We are currently seeking a Document Controller to work on projects across the London area for a variety of clients. Reporting to the Senior Document Controller, you will support the team in delivering high-quality document control and information management services across multiple projects. What You Will Be Doing:

  • Support the team in monitoring the production and quality of design and project management documentation in line with Asset Intelligence processes and procedures.
  • Assist with conducting quality audits and completing audit compliance documentation.
  • Support Asset Intelligence colleagues in obtaining standard design information and specifications from client document portals and other relevant sources.
  • Assist with the creation of promotional materials for the Asset Intelligence business, including case studies and capability statements.
  • Review and audit configuration management systems (such as ProjectWise, CEMAR and Asite), providing feedback and suggestions to support continuous improvement.
  • Gather information required to establish new project folders within SharePoint.
  • Support the design team in preparing design briefs for external design subcontractors.
  • Collect tender design inputs from clients and ensure they are stored accurately within SharePoint.
  • Assist with producing documents that support the design plan, including CVs, design deliverables and related information.
  • Ensure design deliverables are stored correctly within SharePoint and that the latest approved revisions are maintained.
  • Maintain the Drawing & Document Register and Transmittal (DDRT), ensuring records are accurate and up to date.
  • Issue documents through client document management systems (including SharePoint, Viewpoint, ProjectWise, CEMAR and Asite) and coordinate responses with the relevant project teams.
  • Support the provision of technical information for HAZCONs, HAZCOMMs, HAZOPs, ALMs, FATs and SATs.

  • Sound knowledge of Microsoft packages (Word, Excel, Outlook, PowerPoint, SharePoint etc.)
  • Working knowledge of ISO 9001:2015 Quality Management Systems.
  • Knowledge of Projectwise, CEMAR, Asite, Viewpoint for Projects, TWEXnet and any other document management packages beneficial.
  • Water company experience beneficial.
  • Top-class typing and report writing skills.
  • Familiarity with the relevant regulations regarding document keeping and handling (GDPR).
  • Able to proactively manage database changes using software management systems.
  • Time-oriented approach to handling queries and tasks.
