Full Job Description
An exciting opportunity has arisen for a motivated and experienced individual to join the Diagnostics Department as a Deputy Administration Team Lead. The post holder will support the day-to-day operational management of the administrative and reception teams within Imaging Services, ensuring the delivery of an efficient, responsive, and high-quality administrative service.
Working closely with the Administration Team Lead and Operational Service Manager, the post holder will supervise administrative staff, coordinate workload distribution, support service performance targets, and contribute to the effective management of patient pathways. The role includes oversight of appointment scheduling, referral management, waiting list monitoring, rota coordination, staff supervision, and maintaining high standards of patient care and customer service.
The successful candidate will play a key role in ensuring local and national waiting time targets are achieved, supporting service improvements, and maintaining effective communication across multidisciplinary teams and partner organisations. The role requires excellent organisational, leadership, communication, and problem-solving skills, alongside experience within an NHS administrative environment., The Deputy Administration Team Lead will support the operational management of the administrative and reception functions within the Diagnostics Department, ensuring the delivery of an efficient, professional, and patient-focused service.
Key responsibilities will include supervising and supporting administrative staff, coordinating daily workload allocation, managing staff rotas, overseeing referral and appointment booking processes, and ensuring local and national waiting time targets are achieved. The post holder will also support the management of patient pathways, monitor waiting lists and clinic utilisation, and escalate capacity or performance concerns appropriately.
The role involves providing day-to-day leadership to the team, supporting staff training and induction, assisting with recruitment processes, and promoting high standards of customer care and communication. The post holder will work closely with clinicians, operational managers, and multidisciplinary teams to ensure smooth service delivery and effective coordination across the department.
The successful candidate will also be expected to support service improvement initiatives, maintain accurate data quality standards, contribute to performance monitoring, and ensure compliance with Trust policies and procedures. In addition, the post holder will provide operational cover where required to maintain continuity of service within a busy healthcare environment.
