Full Job Description

Provide a professional and welcoming reception service for patients, carers and visitors across Community Dental Service sites. Act as the first point of contact, responding to enquiries in person, by telephone and electronically. Book, amend and cancel patient appointments using the computerised patient management system, ensuring records are accurate and up to date. Process patient payments, issue receipts and undertake basic banking duties where required. Support clinicians and the wider dental team with administrative tasks, including filing, scanning, data entry and correspondence. Maintain confidentiality and comply with NHS policies and procedures. Work collaboratively with colleagues to ensure the smooth running of clinics and high standards of patient care. The post holder may be required to provide cover at other Community Dental Service locations and must be flexible to meet the operational needs of the service.

The post holder will provide a comprehensive reception and administrative service, acting as the first point of contact for patients, carers and healthcare professionals. Duties include booking and managing appointments, maintaining patient records, handling enquiries, processing payments, and supporting general office administration. Excellent communication, organisational and customer service skills are essential. The service uses a computerised patient appointment and record system linked across countywide clinics, therefore, good IT skills are required. Previous reception or administrative experience is essential, preferably in a healthcare setting. Experience of dental software systems would be advantageous, although training will be provided. Flexibility is required to meet service needs, and occasional cover at other sites may be necessary.
