Full Job Description
Working from our Portsmouth office, you'll support the Account Manager and operational team by managing the commercial administration of the contract. You'll play a vital role in ensuring costs are accurately captured, monthly financial applications are prepared and submitted on time, quotations are progressed efficiently, and supporting documentation is complete. You'll work closely with supervisors, engineers, subcontractors, suppliers and our finance team, helping to maximise revenue recovery while ensuring the contract operates smoothly and efficiently.,
- Producing the monthly contract financial application from start to finish.
- Capturing, validating and auditing labour, materials and subcontractor costs.
- Chasing suppliers and subcontractors for quotations, invoices and supporting documentation.
- Supporting the preparation and administration of customer estimates and quotations.
- Monitoring purchase orders, outstanding costs and work in progress.
- Ensuring engineer worksheets and supporting documentation are complete and available for invoicing.
- Maintaining accurate commercial records within our CAFM system.
- Supporting contract reporting, audits and month-end activities.
- Working closely with operational teams to resolve commercial queries and improve processes.
Highly organised with excellent attention to detail. - Commercially aware and confident working with financial information.
- Experienced within a commercial administration, facilities management, engineering or construction environment.
- Comfortable managing multiple priorities and working to monthly deadlines.
- A confident communicator who enjoys building relationships with colleagues, suppliers and subcontractors.
- Proficient in Microsoft Office, particularly Excel.
- Proactive, self-motivated and always looking for ways to improve processes.
- Experience within Facilities Management, Applications for Payment, CAFM systems (particularly Planon) or public sector maintenance contracts would be advantageous but is not essential.
