Full Job Description

Overview Reporting to the Director of Operations, you will play a vital role in ensuring our sites are safe, compliant and well-maintained, working closely with contractors, colleagues and external providers. The College Facilities Manager is responsible for the running of the sites at Abbey College Cambridge including the college and four boarding accommodation sites in line with Group Health and Safety guidelines and policies. Main duties and Key Responsibilities: Site Facility functions · Managing Planned Preventative Maintenance (PPM) for hard services. · Managing service contracts and tendering for new contracts. · Managing the maintenance of catering kitchen equipment. · With the support of the Facilities administrator school, act as the first point of contact for all external contractors appointed to carry out work on-site. · Oversee any work being carried out, ensuring documentation provided (RAMS) before works undertaken, and ensure it is of the highest standard before signing off on it. · Managing general maintenance with caretakers and external contractors. · Monitoring and utilising the Building Management Software System. · Ensure all site set-up requirements are put in place for events, assemblies, exam set-ups etc. · Working with SLT to ensuring relevant Policies are accurate and regularly reviewed. · Ensuring all group reports completed in a timely fashion. · Site waste management. · Managing individual projects such as office moves, space management and restructures. · Responsible for monitoring that essential weekly/monthly tasks are completed on site such as checking first aid boxes, fire extinguishers, emergency exits, weekly fire alarm testing, termly fire evacuations. Health and Safety · Full responsibility for H&S across the site. · Weekly Inspections. Ensure every building is repeatedly checked to ensure compliance with all health and safety matters. · Ensure effective communication with all staff on important site updates such as weekly fire alarms, parking restrictions and any other H&S related updates with support of facilities administrator school. · Ensure all staff are trained to the levels as required by relevant Laws and Regulations. · Work with the college's Senior Leadership Team across the buildings to maintain and improve health and safety, constantly striving at all times to seek improvements to processes and procedures. · Lead and manage the college fire team, ensuring full training is in place. Carry out termly fire evacuations in College and Accommodation sites as per regulatory requirements. · Carry out training for new staff, and retraining for existing staff on everything related to the prevention of fire and use of fire equipment, and Lockdown procedures. · Complete and review fire risk assessments, liaising with external contractors to ensure all requirements are met and surpassed. · Manage the creation, updating and implementation of site risk assessments. · Lead H&S Committee and put in place recommendations/changes. · Understand and implement disability regulations throughout H&S - PEEPS, fire, first aid etc. · Manage the first aid function across the college. · Work with the group-appointed external safety company for inspections. Security · Manage 3rd party Security on site, putting in place rotas and duty requirements. · Work with internal IT department on CCTV and badge access control system requirements. · Ensure the site perimeters are safe. Facilities Staff · Line management responsibility for a team consisting of a Health & Safety and Facilities Co-ordinator and two caretakers, ensuring they are fully aware of their daily/weekly tasks, whilst following H&S requirements. · Assist the team as required. Summer Schools · Be an integral part of the college team that works with third party summer schools on site. · Manage the facilities through the Summer. Paperwork/Records Management · Maintain an in-depth, up-to-date record of all procedures carried out relating to every site within the College, and have these records constantly available to SLT and external inspectors. · Ensure all legislation is adhered to in all aspects of health and safety, fire, risk assessments and everything related to a multi-site organisation. Qualifications and Experience Essential: · Proven experience of working as a Facilities/Site Manager within a Commercial or Education environment. · Experience of 'hands-on management' of a site. · ICT literate, competent in the use of packages with such as Excel and Microsoft and in the use of databases. · Ability to provide effective Line Management.
