Full Job Description

We are seeking an experienced and motivated Clinical Administration Lead to join our busy GP practice. This is a key leadership role responsible for ensuring the smooth, efficient and high quality delivery of all administrative functions that support patient care.

A Clinical Administration Lead is responsible for ensuring that all clinical related administrative processes run safely, efficiently, and in line with NHS standards.

Reepham and Aylsham Medical Practice has two sites, one in the picturesque village of Reepham and one in the historic town of Aylsham. Currently we have a list size of approximately 9,000 patients. There will be a requirement to work between both sites.

In This Role, You Will lead, support and develop the administrative and reception team. Oversee workflow for clinical correspondence, coding, recalls and document management. Ensure compliance with NHS policies, CQC standards and practice protocols. Optimise appointment systems, patient access and digital tools. Work closely with the Practice Manager, GPs and clinical team to improve processes. Monitor performance, manage clinical rotas and support staff training, You will also need to be able to handle complex patient queries and support complaints resolution alongside investigation and resolution of adverse incidents.

Main duties of the job

Clinical Correspondence Management

Oversight of clinical documents includes identifying what can be actioned administratively and what must be escalated to a clinician.

Quality & Outcomes Framework Oversight

Monitoring QOF performance, maintaining accurate coding, supporting audits, and ensuring the practice remains on track with clinical indicators.

Patient Recall & Chronic Disease Management Support

Running recall searches, inviting patients for reviews, harmonising multiple recall schedules, and ensuring chronic disease protocols are followed.

Workflow Coordination & Team Oversight

Overseeing distribution of administrative work, s ensuring tasks are completed on time, and providing cover when needed.

Clinical System Expertise & Data Quality

Maintaining high data quality, ensuring correct coding, supporting staff with system use, and troubleshooting issues with clinical software.

Information Governance & Confidentiality Compliance

Ensuring all admin processes comply with confidentiality, GDPR, and NHS information governance standards.

Operational Support & Process Improvement

Supporting with system improvements, audits, rota support, stock ordering, and implementing new procedures.

Safeguarding

Identifying and escalating safeguarding concerns or complex clinical correspondence to the appropriate clinician.

General Administrative

Delivering enhanced services, covid and flu clinics and ensuring smooth day to day operations.
