Summary


Communication and Relationship Skills Required to deal with fundraising queries from staff and the public in person, over the telephone and by e-mail. The post holder will be required to provide information to potential donors and should acquire and maintain a sound knowledge of the work of the Fundraising Team and Velindre Cancer Centre. The post holder will be dealing with donors who may be in a fragile state, e.g. due to a recent bereavement, so they must have the ability to display tact, diplomacy and empathy at all times. A sensitive and compassionate attitude is essential when dealing with bereaved relatives and carers. The ability to project a positive and upbeat image of the Fundraising department. The post holder will be required to represent Velindre at fundraising events to provide financial and administration support when required. The post holder may be required to attend cheque presentations and thank an audience.


Knowledge, Training and Experience



  • Excellent IT skills which should include the updating and maintenance of databases.

  • Previous extensive administrative experience in a busy service user focused environment is essential for this role.

  • Previous experience in a fundraising background is desirable although not essential.

  • Qualifications to demonstrate a sound educational background which include evidence of numeracy and literacy skills to A level standard or equivalent.


Accuracy and Attention to Detail


The post holder will be the initial contact point for everyone contacting the Fundraising department. The post holder will be required to determine whether to escalate enquiries or to pass to a Fundraiser or a more senior member of the team. The work within the Fundraising department is sometimes non routine, and the post holder would be required to problem solve when dealing with unexpected changes.


Planning and Organisational Skills


Provide comprehensive administrative support to the Fundraising team ensuring all administrative duties are carried out in a timely manner. Accurately enter all donor information onto the Fundraising database. Ensure that acknowledgement letters conform to Customer Care timeframes. Provide financial support including monitoring and creating income reports for events and activities. Be familiar with all fundraising and financial administrative procedures, including taking donations over the phone and online. Support fundraisers utilising the Participants Fundraising Database ensure each participant is allocated to a fundraiser, their details are accurately recorded on the database and a donor ID number generated. Support fundraisers on a range of events when required with financial and administration support.


Physical Skills


Advanced keyboard skills when typing letters, creating documents, spreadsheets, access databases etc. The need for accuracy is essential. Helping at external events, erecting pop up stands and displays, lifting and carrying resources such as a safe including cash and receipts, merchandise and promotional materials.


Responsibility for Patient/Client Care


The post holder will have incidental contact with patients and their relatives and will be required to provide information in respect of fundraising e.g. where an individual wishes to donate to Velindre Fundraising.


Responsibility for Policy/Service Development Implementation


The post holder will be required to work in accordance with policies and procedures within Velindre University NHS Trust and Velindre Cancer Centre and to suggest any changes in working practice that may enhance the service provided by the Fundraising Team.


Responsibility for Financial and Physical Resources


Maintaining the Fundraising database: receive and register financial donations and ensure all donations are accurately entered, and donors thanked as per customer care standards. This will require the individual to handle online, cash and cheque donations and ensure they are stored securely. Record and process receipts for acknowledgement. Maintaining Fundraising Participants Database. In the absence of a Fundraiser, when a supporter comes into the office to pick up materials for an event, look up their details on the Fundraising Database and Participations spreadsheet located on Teams, issue them with the requested materials and update the Teams spreadsheet accordingly. Required to check that adequate stocks of fundraising merchandise are maintained.


Freedom to Act


Ability to manage own workload, referring to manager where appropriate. The post holder will be required to manage their workload effectively to ensure an excellent service is provided to supporters and the Fundraising team.
