Full Job Description

To provide high quality business support and clerical services to support the MSK, PhysioWorks/Staff Physiotherapy Service Management, Clinical and Administrative Teams. Support the operational running of outpatient clinics across the city from multiple locations e.g. GP Practices, Community Hubs and NCSEM venues. Admin are expected to work from both offices based at Graves MMC and Firth Park Clinic (south and north of city). Also to support out of hours clinics with Reception duties (between 17:00-20:00 hrs) which is shared on a rota basis within the team. Main duties of the job An opportunity has arisen for an enthusiastic individual to join our dynamic and supportive MSK therapy team based in Sheffield. This role is aimed at providing clerical and business support for the managerial team. A high level of organisation skills, along with consistent attention to detail is essential to ensure the smooth running of the administrative service., Please view the attached Job Description and Person Specification documents for full details regarding this post. Applicants will have experience of working with the public and in a team environment. You will be an excellent communicator with the ability to organise your time and workload efficiently and work on your own initiative. Basic keyboard skills, a working knowledge of computers and proficient use of Excel are essential requirements. Knowledge of SystmOne electronic patient record is desirable. Appropriate training would be given to the post holder along with regular support sessions.,

  • GCSE level grade C/4 or above in English and Maths or equivalent qualifications/experience
  • OCR II or equivalent in Word Processing / typing or equivalent.
  • NVQ 3 in Business /Administration or NVQ 2 plus other short courses e.g. CLAIT, ECDL etc.
  • Desirable
  • ECDL Parts I and II
  • Experience Essential
  • Experience of working with the public.
  • Appropriate experience in an administrative role within an office environment.
  • Experience of working in a team.
  • Microsoft office skills at intermediate level - Word, Excel and Outlook e.g. demonstrated by short courses or experience.
  • Experience of working with minimal supervision.
  • Desirable
  • Experience of working in a healthcare setting.
  • Experience of Patient Health Record systems such as SystmOne and Electronic Referral System eRS (Choose & Book).
  • Ability to maintain accurate written records and statistics.
  • Basic knowledge of the NHS.
  • Knowledge of Insights Learning & Development programme.
  • Special Skills and Aptitudes Essential
  • Excellent organisational skills, problem solving, along with the ability to prioritise your own varied workload and meet deadlines.
  • Good interpersonal, oral and written communication skills.
  • Excellent telephone manner, demonstrating empathy, efficiency and patience always.
  • Confidence to enter information directly onto a database, finance form, HR document, requiring a very high level of accuracy and good grammar.
  • Able to understand, demonstrate and maintain confidentiality and security within the service, along with the ability to process personal details in an appropriate and sensitive manner.
  • Ability to communicate with professionals across a range of agencies and services in a professional manner.
  • Willing and able to carry out a range of office duties e.g. filing, photocopying and scanning.
  • Ability to work as part of a team yet also can act on own initiative and to specific instruction, whilst remaining driven to support the delivery of excellent patient care.
  • Able to work under pressure and in a busy environment, whilst remaining calm and polite.
  • Ability to multi-task.
