Full Job Description
Working as part of the Facilities and HR teams, the Business Support Coordinator is a highly visible role responsible for delivering a professional reception service while supporting the effective day-to-day operation of the Frimley office. The role also acts as the Business Management Systems (BMS) Site Document Coordinator for Frimley, supporting ISO 9001:2015 requirements, and provides ad-hoc administrative support across HR and other business functions when required., Reception & Front-of-House
- Provide a professional, courteous welcome to all employees, visitors, and guests at Frimley.
- Manage incoming and outgoing calls, messages, and related correspondence.
- Control building access, ensuring only authorised access is granted.
- Maintain visitor records and issue temporary access badges.
- Manage visitor Wi-Fi access, update reception displays, and coordinate communications.
- Arrange taxis, travel accommodation, courier services, and manage daily mail distribution. Site & Facilities Support
- Support the Facilities Lead with day-to-day office operations and administrative tasks.
- Represent Facilities in inter-departmental meetings and facilitate communication across teams.
- Coordinate contractors and suppliers (e.g. cleaning, maintenance) and escalate health & safety issues as needed.
- Support fire safety arrangements, including Fire Warden coordination and training.
- Raise requisitions and purchase orders via SAP.
- Order office supplies and support sustainability initiatives (utilities and waste monitoring).
- Assist with facilities-related projects and initiatives as required. Business Management Systems (BMS) & ISO Compliance
- Act as BMS Site Document Coordinator for the Frimley site in line with ISO 9001:2015.
- Manage document control, versioning, approvals, and records within FileNet/MIDI and the Master Index.
- Monitor the CAPA database and ensure timely closure of actions.
- Coordinate internal and external audits, including audit scheduling and hosting.
- Support and mentor site auditors and undertake auditor training where required.
Secondary-level education or equivalent relevant experience. - 2-5 years' experience in a receptionist, front-of-house, or administrative support role.
- Strong customer-focused approach with excellent interpersonal and communication skills.
- Proven ability to multitask, work independently, and manage competing priorities.
- Good working knowledge of Microsoft Word, Excel, and PowerPoint (Excel essential).
- Professional appearance and confident communication style. Desirable
- Experience working in a corporate or multi-department environment.
- Familiarity with document control systems or ISO-related processes.
- Experience raising purchase orders or working with ERP systems (e.g. SAP). This is a varied and hands-on role requiring strong organisational skills, initiative, and adaptability. You will be a key point of contact within the Frimley site and play an important role in creating a positive experience for employees and visitors alike. The successful candidate will be required to complete background checks in line with company policy.
