Full Job Description
An exciting opportunity has arisen for a Bank Band 3 Temporary Staffing Booking Officer within the People Division. This role plays a vital part in supporting the Trust by coordinating the supply of temporary Bank workers to cover vacancies and unplanned absences across all staff groups. You will help deliver a high-quality, customer-focused service, ensuring all staffing arrangements are in line with Trust policy, best practice, and are cost-effective. You will work as part of a supportive and collaborative team, building strong working relationships with colleagues across the Trust, including HR Operations, Payroll, Workforce teams, the wider People Directorate, and Divisional Managers and Leads. Shift patterns vary week by week and will primarily include evenings, weekends, and bank holidays. A structured training period will take place at the Paddington Office, during which standard 9:00am - 5:00pm daytime hours will be required. Shift times include: Evenings: 4:30pm or 5:00pm - 8:30pm Weekends: 9:00am - 5:00pm Bank Holidays: 9:00am - 5:00pm The post holder will be responsible for supporting the effective day-to-day operation of the Trust's temporary staffing service, including:
- Managing daily temporary staffing activity, including placing staff using the Bank Booking system in line with Trust procedures.
- Providing administrative support related to demand monitoring, booking utilisation, and overall temporary staffing activity.
- Processing timesheets and payroll information accurately and promptly to support timely payment for Bank workers.
- Acting as a first point of contact for departmental managers, matrons, ward managers and Bank workers, responding to telephone calls and queries in a timely, professional, and courteous manner.
- Regularly reviewing the Bank Booking system for new temporary staffing requests, ensuring requests are actioned promptly and information is recorded accurately.
- Posting shifts in a timely manner, ensuring all bookings are correctly entered on the system and that Bank reference numbers are provided to workers.
- Matching service requests with appropriately skilled temporary workers, assessing suitability based on role requirements and experience.
- Where a worker has not previously worked within a service or locality, arranging or sharing skills assessments with services to support safe and effective deployment.
- Inputting additional shifts as requested by services and following up on shifts booked outside of normal office hours.
