Nicholas Chamberlaine School is seeking a flexible, resilient, and proactive Attendance Officer to join our busy School Administration team. Job Description Main Purpose of the Role
- To promote, in conjunction with other key school staff, excellent attendance, reduce levels of absence, and work with children and families to promote high levels of attendance across the school.
- To oversee day-to-day attendance marks within the school, actively communicating with parents and carers to ensure all students are accounted for.
- To manage individual cases causing concern regarding school attendance, maintaining accurate tracking records of alternative provisions and monitoring the attendance of students who attend these external providers.
- To facilitate early identification, investigation, and assessment of school attendance concerns, engaging with a wide range of young people (aged 11-16) and their parents or carers.
- To work collaboratively with SLT, Heads of Year, form tutors, external agencies, and to model and promote the values and ethos of the school and Griffin Schools Trust. Main Duties and Responsibilities 1. Attendance Operations & Tracking
- Oversee and manage the day-to-day attendance marks within the school to ensure absolute precision and register integrity.
- Maintain direct, proactive communication channels with parents and carers to verify student absences and guarantee all pupils are safely accounted for.
- Communicate consistently with external providers to monitor, track, and record the attendance data for students placed in alternative off-site provisions.
- Identify, extract, and analyse internal attendance data trends, systematically comparing them against regional and national benchmarks to generate regular diagnostic reports.
- Execute structured attendance monitoring interventions for targeted cohorts, including managing phone logs, home visit registers, check-ins, and targeted late policies. 2. Casework, Procedures & Intervention
- Early identification of vulnerable pupils.
- Working alongside the DSL team, contributing to Early Help and multi-agency work, recognising when attendance concerns may indicate wider safeguarding issues, and supporting welfare visits where appropriate.
- Lead on Early Support meetings to implement structured, proactive intervention frameworks and maintain collaborative action plans for families requiring coordinated support.
- Manage a caseload of individual students causing serious operational concern regarding persistent absence, administering interventions through formal correspondence, rigorous meetings, and targeted home visits.
- Maintain a thorough, operational knowledge of statutory general attendance procedures, specifically focusing on Leave of Absence (LOA) criteria and Children Missing Education (CME) pathways.
- Coordinate attendance support plans and coordinate cross-agency integration.
- Partner directly with parents and students to unpack and proactively dismantle deep-seated emotional, environmental, or social barriers to regular school learning. 3. GDPR & Compliance
- Operate firmly within the boundaries of the General Data Protection Regulation (GDPR) legal framework, protecting student data vulnerability in processing operations.
- Prepare comprehensive paperwork and structural files for the annual GDPR audit process, supported by the Operations Manager. 4. General School Support
- Ensure that all stakeholders, visitors, and multi-agency partners are welcomed in a professional, empathetic, and highly efficient manner.
- Maintain operational flexibility to assist in other administrative, inclusion, or support provisions commensurate with the grading of this post according to school needs. Qualities and Experience Required
- Must be Early Support and DSL trained or possess a clear commitment to undertake this formal certification immediately upon appointment.
- Excellent interpersonal skills with the capability to manage high-stress environments, delicate confidentiality matters, and sensitive family crises.
- Proven ability to identify safeguarding risks, children at risk of significant harm, neglect, or severe domestic deprivation.
- Strong command of organisational priorities with the ability to satisfy conflicting, fixed statutory deadlines smoothly. PERSON SPECIFICATION Qualifications
- Level 3 qualification(s) or equivalent
- English and Maths qualifications at GCSE grade C or equivalent
- Evidence of continuing professional development
- Early Support Trained (or explicit willingness to undertake training immediately) Knowledge and Understanding
- Good general understanding of issues facing schools and the structural administrative or attendance provisions they necessitate
- Comprehensive knowledge of standard regulatory attendance procedures (such as Leave of Absence [LOA] and Children Missing Education [CME])
- Good knowledge of general software applications such as word processing, databases, and spreadsheets
- Understanding of issues to do with the collaborative management of stakeholders and families Experience
- At least two years' experience of student support, administration, or casework capacity
- Experience tracking alternative provisions and communicating with external providers
- Working within an administrative or inclusion capacity inside a secondary school student setting Skills, Abilities, and Personal Attributes
