Full Job Description
Working within the Marketing, Recruitment and Admission team within the University of Bolton we are now looking for an Admissions and System support assistant to work in our busy team to assist the day to day running of the office.
To contribute to the delivery of an efficient and effective Admissions Service for applicants and University staff. To proactively support the Admissions Managers in developing processes and systems to support the admission of students.
Principal Duties and Responsibilities:
1. Carrying out duties relating to the delivery of the University's Admissions Service in accordance with the University's Admissions Policy, QAA Code of Practice, OFS and other related policies.
2. To undertake tasks using electronic systems to monitor and track applications to ensure that institutional deadlines are met.
3. To support the International Admissions Manager in developing the electronic systems which support the admissions process and ensuring integrity of the admissions data.
4. To support the International Admissions Manager in the management of SITS including setting up automated processes, communications and applicant interfaces.
5. To support the set-up processes for qualification download, UCAS XML links, development and maintenance of the application form, applicant portal.
6. When requested to contribute to the day-to-day administrative and operational activities of the team and responding to applicants in accordance with established standard operating procedures and ensuring that decisions are fair, robust and justified.
7. Supporting the overseas branch offices verifying relevant qualifications and institutions as appropriate, against defined internally and externally generated criteria and guidelines to minimise fraudulent applicants. To include non-UK applications for equivalence using relevant reference sources such as ECCTIS and confirming English Language Proficiency in line with university entry requirements.
8. To be responsible to the Managers, the Director, and the Data Manager in ensuring that data handling and recording is completed in line with standard procedures to provide quality management information, HESA data reporting and day to day data requests.
9. Providing technical assistance, guidance and support to the team in relation to SITS
10. Working as a team to ensure the integrity and validity of all applicant related data on SITS.
11. Contribute to the efficient and effective operation of Confirmation and Clearing.
12. To provide support to the Admissions Managers to deliver all aspects related to the admission of new students during the enrolment process.
13. Supporting the wider team in undertaking conversion activities for offer holders.
14. Assisting in University events including clearing and open days as and when required.
15. Attend relevant meetings related to the admissions process including external conferences and training sessions. To include responsibility for own understanding of admissions issues within the sector.
16. Working flexibly as part of the team including some evening and weekend work at peak times.
17. From time to time undertake other such duties as may be required by the Director Ensure and maintain integrity and confidentiality of data in line with statutory and corporate requirements.
18. Ensure a safe working environment and abide by University health and safety policies and practices and to observe the University's Equal Opportunities policy and Dignity at Work policy at all times
