Full Job Description

We are seeking to appoint a dynamic and enthusiastic individual as attendance manager. We are looking for someone who loves working with children and is aligned with our CARE values - Cooperation, Respect, Aspiration and Endeavour. 37 hours per week, term time only - plus training days. Monday - Thursday 8.30-4.30pm and Friday 8.30-4.00pm, with half an hour unpaid lunch break. The Responsibilities: Recording/Monitoring Absences

  • Record voicemail, Bromcom notifications, emails and print any appointment documentation received. Call or email parents for appointment confirmations if not received.
  • Ensure all registers are taken and complete in Bromcom every school day, chase any missing registers.
  • Build and input "First Day Response" to every year group and prioritise 'First Day Response' calls every day.
  • Check 3rd day absences for non-notification and carry out home visits.
  • Change "L" marks to present
  • Check daily if any students are in isolation or excluded with HOY.
  • Meet termly with EWO to discuss live cases and attendance.
  • Produce letters for Fixed Penalty Notices.
  • Complete online forms to CBC for FPN's for holidays or non-school attendance.
  • Absence Tracker
  • Weekly meetings with HOY and SLT member responsible for attendance to discuss students and action on the attendance tracker and produce letters generated from tracker.
  • Print tracker actions - each class within all years.
  • Chase teachers who have not actioned weekly sanction from tracker.
  • Weekly Tracker Tasks:
  • Check registers are complete for week.
  • Move all leavers to off role pocket on tracker.
  • Add any new students.
  • Produce weekly reports for figures to be added to the tracker.
  • Email tracker to SLT, Senco and Family Liaison Officer.
  • Produce reports and actions for HOY's.
  • Add tutor's weekly actions and comments from CPOMS to tracker.
  • Produce letters home regarding attendance.
  • Attend, and at time, chair SOL meetings with HOY.
  • Analyse attendance data when requested.
  • Admissions and Leavers
  • Liaise with HOY's and make appointments with parents and students.
  • Provide new starter packs.
  • Add new students to Bromcom and inform PK for a timetable to be issued.
  • Notify CBC of new starter.
  • Contact previous school for CTF, file, UPN number and if any safeguarding direct to RM/KW.
  • Download CTF when notified by S2S website.
  • Liaise with CBC on behalf of school when requested by DHT.
  • Obtain in writing a letter from parent when student is leaving and new school details plus new address if moving house or out of area.
  • Contact new school on expected start date for conformation of arrival and request CTF and file.
  • Notify CBC that leaver has been removed from role.
  • CPOMS entry to remove from role to SLT, HOY and Admin support.
  • Ensure EHE follow up form completed.
  • Add exclusion to SIMS register.
  • Write and produce exclusion to parent.
  • Complete online form to CBC - Access & Inclusion.
  • Add actions to SIMS.
  • Copy letters and add to CPOMS and personal file.
  • Safeguarding
  • Ensure all safeguarding procedures are complete as per school policies and DFE guidance.
  • Ensure all paperwork is uploaded to CPOMs in a timely manner.
  • Liaise with DSL, HOY and other key staff with regards to ensuring strong pastoral care.
  • General
  • Cover reception.
  • Answer overflow phone.
  • Cover first aid.
  • Undertake lunch duties.
  • Archiving.
  • To undertake all mandatory training modules including safeguarding each year.
  • Any other tasks of a similar nature as requested by the line manager.
