Full Job Description

An exciting opportunity has arisen for a driven Administration Officer with strong values to support our Individual Placement Support (IPS) Employment Service. IPS is an evidenced based employment service integrated into local mental health teams, helping individuals find and sustain high quality, competitive employment. Working alongside a Pathway Co-ordinator, the main function of the Administration Officer role is to provide a proactive and comprehensive administration and secretarial service to the IPS team who work across all parts of the Trust. You will undertake a variety of admin duties as assigned by the Service Leads/Team Leads. The successful candidate will be based at St Nicholas Hospital, Gosforth and the post is full-time (37.5 hours), Monday to Friday (9:00am-5:00pm), The main duties of the role will include, but are not limited to:

  • Attending weekly locality based meetings, taking minutes and live typing accurate information into our Electronic Patient record system. Please note, some of these meetings may be in person at other CNTW sites
  • Preparing and taking minutes at full service business meetings
  • Monitoring and responding to incoming queries and referrals within a busy shared mailbox in a timely manner
  • Working closely with the Pathway Coordinator, and managing administrative work together effectively
  • Supporting recruitment processes
  • Providing Administrative support during external and internal reviews
  • Answering incoming calls to our landline and triaging these appropriately
  • Effective diary management
  • Typing, formatting and sending confidential letters and reports
  • Supporting with data management and capture
  • Other general administrative duties

    Ability to be self-directed, motivated and be able to contribute positively within a team
  • Ability to work autonomously and follow service processes
  • Ability to change tasks at short notice
  • Possess excellent customer service skills, often being the face of our service and demonstrating a professional and friendly manner at all times
  • Be able to demonstrate flexibility, punctuality and reliability
